Full Job Description
Role Impact:

The Director, Lease Administration & Revenue Services provides leadership and operational oversight for the organization's financial systems (Yardi/Voyager). This role acts as the primary custodian of lease data integrity, execution level "lease-to-cash" automations, and the end to end recovery reconciliation processes. Focusing on portfolio execution and compliance, the Director establishes internal audit frameworks, manages the "Precedent lease" library, and builds institutional knowledge through standard operating procedures. By delivering executive-ready operational dashboards and leading due diligence for new property acquisitions, the Director partners closely with Legal, Leasing, and Property Operations to manage account receivable escalations, and eliminate recovery leakage.

What you will deliver:

  • Lead and mentor Managers and Analysts providing services to the business in Lease Administration and Revenue Services. Foster a culture of excellence by setting KPIs and performance standards for both direct and indirect reports.
  • Drive the adoption of new technologies and methodologies (eg: automation of lease review, recovery workbook, components of deal manager reporting). Act as the primary change agent for inter-departmental policy shifts that impact lease administration and data flow.
  • Identify and implement "Lease-to-Cash" automation to reduce manual errors and shorten the billing-to-collection cycle.
  • Partner with Legal, Leasing and Property Operations to consult on standard lease language, ensuring operational feasibility, minimizing landlord financial exposure and maintaining accounts receivable per company objectives.
  • Develop and maintain good working relationships with our clients to help ensure rent is collected and disputes are resolved on a timely basis.
  • Serve as the functional Lead for Yardi/CF Voyager/Deal Manager, overseeing system architecture, validations, and the integration of new modules.
  • Identify and implement automation opportunities within the recovery and billing cycles to reduce manual intervention and error rates.
  • Oversee the creation and maintenance of sophisticated training curricula and system "Standard Operating Procedures" (SOPs) to ensure institutional knowledge remains current
  • Architect and oversee the annual and monthly recovery process, ensuring complex, multi-layered property expenses are reconciled accurately and in accordance with diverse lease structures.
  • Lead the Lease Administration portion of the due diligence process for new property acquisitions, identifying "hidden" financial shortfalls and ensuring seamless data migration into Yardi.
  • Establish and monitor a robust internal audit framework. Serve as the primary point of contact for external auditors, ensuring 100% compliance with certification processes and financial controls.
  • Maintain the "Precedent Lease" library and advise on major tenant negotiations to ensure consistency in language and financial treatment across the portfolio.
  • Design and deliver high-level executive-ready dashboards and reporting packages that provide visibility into leasing velocity, recovery leakage, and operational bottlenecks.
  • Oversee advanced escalation protocols for Accounts Receivable to proactively address defaults and prevent portfolio-wide AR growth.
  • Manage recovery accuracy for complex structures (CAM, Tax, Insurance) in accordance with diverse lease terms.
  • Partner with Legal, Leasing and Property Operations to advise on major tenant queries that may have significant financial implications for the Landlord.

What your strengths are:

  • Excellent written and verbal communication skills; ability to influence and partner with Senior Leadership
  • High degree of tact and diplomacy when handling sensitive tenant disputes or internal departmental misalignments.
  • Ability to manage high-pressure deadlines and large-scale projects (e.g., system migrations or year-end reconciliations) without compromising accuracy.
  • Demonstrated ability to make high-stakes financial decisions and interpret complex lease clauses that have significant bottom-line implications.
  • Sophisticated problem-solving skills with the ability to translate complex data sets into actionable business insights.

What you need to succeed:

  • University degree in Business, Commerce, or Law. Advanced certifications in either CPA (Chartered Professional Accountant), RPM (Real Property Administrator) or CPM (Certified Property Manager).
  • Minimum of 10 years of progressive experience in Property Management and Lease Administration.
  • Minimum of 5-7 years in a Senior Manager position or leadership capacity with a proven track record of managing management-level reports.
  • Expert-level mastery of the Real Estate industry and commercial leasing life cycles.
  • Deep understanding of accounting principles and practices as they relate to CAM and Tax recoveries.
  • Advanced proficiency in the interpretation of complex lease documents and legal terminology.
  • Advanced proficiency in Microsoft Office (Excel/Word) and Yardi/Voyager (CTI/Voyager).
