Full Job Description
We are seeking an experienced Document Control Lead to establish, lead, and continuously improve document and records control for a major program upgrading, expanding, and modernizing a critical container terminal in New Jersey. You will act as the project authority for controlled information, records governance, and electronic document management across design, procurement, construction, commissioning, and operational handover.

Key responsibilities
• Establish the Project Document Management Plan, procedures, metadata standards, numbering conventions, review matrices, retention requirements, and closeout controls.
• Lead the administration and governance of SharePoint, Oracle Aconex, and other approved electronic document-management and Common Data Environment solutions.
• Control the complete information lifecycle, including registration, technical review, approval, distribution, revision, archival, legal hold, and authorized disposal.
• Maintain the Master Deliverables Register, monitor planned submissions and overdue reviews, forecast workload, and escalate schedule or information risks.
• Coordinate document interfaces among the owner, designers, contractors, suppliers, systems integrators, commissioning teams, and terminal operations.
• Assure data quality through audits, reconciliations, contractor surveillance, access reviews, dashboards, corrective actions, and controls preventing the use of superseded information.
• Drive progressive handover by validating test packs, manuals, warranties, as-built records, asset data, software records, training documentation, and final acceptance dossiers.
What we are looking for
• Bring a continuous improvement mindset, with the ability to analyze workflows, identify root causes, reduce rework, standardize processes, and automate controls where appropriate.
• Demonstrate five or more years of progressive document control, information management, project records, or configuration-control experience on large capital projects, including at least three years in a lead capacity.
• Hold a bachelor’s degree in engineering, construction management, information or records management, business administration, project management, or a related field, or offer an equivalent combination of education and relevant experience.
• Apply strong working knowledge of document numbering, metadata, revision control, approval workflows, controlled distribution, audit trails, information security, records retention, and project turnover.
• Use Microsoft 365 confidently, including Word, Excel, Teams, PowerPoint, and Power BI or comparable reporting tools. Advanced Oracle Aconex and SharePoint administration experience is preferred.
• Work on-site in Elizabeth, New Jersey, support critical activities outside normal working hours when required, and meet United States work-authorization requirements.
Location: Elizabeth, NJ (5 days in Office)
Salary: $90K - $100K
