SR. EVENT MANAGER

GENERAL SUMMARY

The Senior Event Manager is responsible for managing and supporting various events, from the beginning of conception through to the execution and final reconciliation, including budget. This position is accountable for day-to-day operation of large scale/budget meetings, client management and reporting on ROI.

ESSENTIAL FUNCTIONS
  • Lead project manager for large scale projects with proven expertise in leading complex events, managing the planning, execution, and implementation of assigned event(s).
  • Work with, lead, and support the project team to ensure adherence to client and company standards.
  • Develop and manage budgets and prepare wrap-up reports.
  • Responsible for building project timelines/plans and managing the project plan to drive the team to meet the client and vendor deliverables, as well as anticipating and managing when deadlines may be missed.
  • Be solution-oriented and forward thinking when responding to client questions or providing recommendations.
  • Maintain all historical data for projects.
  • Analysis and reporting responsibilities of various conference data for client.
  • Supplier procurement and management of contracts to ensure quality and contractual compliance.
  • Oversee venue communications, including F&B, group re9sume9, event specifications, housing/room block, and final invoice review.
  • Manage sponsor/exhibitor fulfillment, including prospectus development, exhibitor/sponsor communications, general services contractor and floor plan management.
  • Speaker management including speaker portal setup, timeline establishment, speaker communications, data collection, and speaker travel/registration management.
  • Special event review, selection, and management.
  • Analyze surveys and compile feedback for the client.
  • On-site venue execution to include staff assignments/management, venue supplier management, implementation of event logistics, exhibit/sponsor management, and speaker management where applicable.
  • Contract Signing Authority up to 50th percentile of average dollar range.
  • Other duties as assigned.


MINIMUM AND PREFERRED QUALIFICATIONS
  • Bachelor's degree or equivalent experience.
  • 7+ years of meeting management experience with at least 3-5 years of proven expertise in leading complex events, managing the planning, execution, and implementation of association event(s).
  • Experience in Exhibit and Tradeshow management is required.
  • Strong communication and networking skills and the ability to successfully manage stakeholder relationships and expectations.
  • Conference strategy - provide oversight and strategic guidance to association teams related to their events. Attain a high-level awareness of events scale and scope to provide forward-thinking strategies.
  • Solutions Driven - Think creatively and bring innovative ideas and solutions to the client's events through collaboration with Executive Directors and other appropriate association team members.
  • Facilitate and guide association volunteer committee(s) with regular meetings and communication. Provide knowledge of hospitality standards that volunteers may not be familiar with.
  • Experience managing committees/ executive boards/volunteers.
  • Knowledge of destinations, hotels and venues nationwide.
  • Calm and flexible approach to handling the stress of ever-changing demands.
  • Strong organizational skills and ability to multi-task and prioritize.
  • Strong creative problem solving.

WORKPLACE LOCATION REQUIREMENTS

We operate as a Hybrid work environment, working as a combination of remote and in-office presence, as well as the possibility of being onsite at client and/or event locations.

TRAVEL REQUIREMENTS

Ability to travel at least 30%.

SCHEDULING REQUIREMENTS

Requires flexibility in scheduling, such as the ability to work evenings and weekends to meet client, event, or company needs.
