Education
Associate's degree or equivalent required; Bachelor's degree preferred.
Required Experience
- Minimum of six (6) years of administrative experience, including previous experience supporting Senior Executive Service (SES) or other executive-level personnel.
- Recent experience within the past three (3) to five (5) years providing executive-level administrative, office management, or technical support services to government agencies, preferably within the Department of War (DoW).
- Experience formatting, processing, and maintaining official documents and records.
- Experience managing executive calendars, scheduling appointments, coordinating high-level meetings and video teleconferences (VTCs), and corresponding via email.
- Experience preparing official correspondence, presentations, and other administrative materials for SES or executive-level personnel.
- Proficiency with Microsoft Office software, including Outlook, Word, PowerPoint, and Excel.
- Ability to exercise professional and independent judgment and initiative.
- Ability to work independently, collaboratively, and under strict deadlines.
Preferred Experience
- Previous executive-level administrative or office management support experience within the Department of War (DoW), Department of the Navy, or Strategic Systems Programs (SSP).
- Experience processing official travel using the Defense Travel System (DTS).
- Familiarity with Department of the Navy correspondence standards, including SECNAV M-5216.5.
- Experience maintaining records in government systems, including SMARTS and SEAS.
Salary:
Commensurate with experience
The final base salary offered within this range will depend on a variety of objective factors, including the candidate's relevant experience, specialized technical skills, education, certifications, and geographic work location. Our internal pay structure is designed to allow placement across the range based on candidate qualifications relative to internal peer equity. In addition to base salary, candidates possessing an active, verifiable security clearance (e.g., Secret, Top Secret, TS/SCI) may be eligible for a government clearance differential or specialized premium pay. Final compensation placement is determined by clearance level, polygraph status, and contract-specific customer requirements. This position is eligible for performance bonuses, sign-on incentives, and comprehensive benefits. The advertised range represents the good-faith anticipated hiring range for this specific vacancy and does not represent SANCORP's complete internal compensation band, proposed contract labor rate, billing rate, or total cost to the Government.Responsibilities:SANCORP is seeking a Senior Executive Service Level Executive Assistant to provide independent, daily support to Strategic Systems Programs (SSP) Senior Executive Service Leadership at SSP Headquarters. The following are examples of responsibilities:
Administrative Support and Records Management:
- Complete Defense Travel System (DTS), Records Management, Navy Correspondence, SSP Mail and Records Tracking System (SMARTS) and SSP Enterprise Archive System (SEAS) trainings, and deliver Certificates of Completion. (CDRL A003).
- Make Defense Travel System (DTS) travel arrangements in accordance with Travel Policy & Procedures, SSPINST 4650.13 (series).
- Process mail in accordance with SSP correspondence guidelines;
- Prepare form letters, memoranda, and other business-related documents in accordance with the Navy Correspondence Manual (SECNAV M-5216.5 CH-1).
- Create and maintain office files (paper or electronic or both) to meet Government requirements in accordance with the Navy Directives.
- Management Manual SECNAV M-5215.1, and Navy Records Management Manual SECNAV M-5210.1.
- Maintain branch records and ensure proper documentation is filed and archived in compliance with records management protocols.
Meeting and Event Coordination:
- Manage assigned technical tasks to maintain the continuous and efficient functioning of administrative processes.
- Ensure compliance with cybersecurity and information assurance standards.
- Process security information to meet Government requirements in accordance with SSP M-5510.1 Apr 2024 SSP Security Manual.
- Attend meetings, generate and maintain meeting minutes, disseminate information concerning projects and programs, note important information or conflicts, and follow up on action items.
- Schedule and arrange for conference facilities, conference, and video teleconference (VTC) calls.
- Conduct major meeting planning, tracking and closure, including documenting objectives, agenda development, inviting attendees, and developing action item definitions.
Calendar and Appointment Management:
- Establish and maintain detailed work unit calendars to track activities, deadlines, and deliverables.
- Establish appointment priorities and manage scheduling, including rescheduling or declining appointments and invitations when necessary.
Task and Workflow Management:
- Prioritize high-priority tasks, projects, and deliverables to ensure deadlines are met and performance remains consistent.
- Manage assigned technical tasks to maintain the continuous and efficient functioning of administrative processes.
Communication and Correspondence:
- Compose complex technical correspondence and reports to deliver leadership with evaluative materials necessary for decision-making.
- Collect and prepare responses to external inquiries related to the technical aspects of assigned projects and deliver to SSP personnel.
- Locate, assemble, and prepare oral and deliver written presentation materials using multiple data sources.
- Support for Organizational Alignment and Collaboration.
- Assist in promoting alignment, coordination, and consistency across branches for projects and programs.
Administrative and Operational Support:
- Perform administrative tasks in compliance with branch operating procedures, such as managing supply orders, monitoring printer stations, and updating phone rosters.
- Attend meetings, generate and maintain meeting minutes, and track action items.
Security Support:
- Process security information to meet Government requirements in accordance with SSP M-5510.1 Apr 2024 SSP Security Manual; the SSP Security Office shall manage the Defense Information System for Security (DISS) and create visit requests as needed to support security requirements.
Problem-Solving and Independent Decision-Making:
- Resolve administrative-related issues and independently develop solutions for clerical or administrative challenges.
