Full Job Description

Key Responsibilities

· Monitor and support coordination of all steps within the pre-opening key milestones; manage logistical tasks related to the new openings, maintain project documentation, assist in data entry tasks, etc.

· Has a full and comprehensive understanding of the various legal documents related to the development of the project i.e. Hotel Management Agreement, Technical Services Agreement etc.

· Keep track of critical path milestones (pre-opening budget, manning, procurements, etc.); review and raise awareness in view of any possible time constraints according to respective Hotel Management Agreements; consolidate milestones progress with relevant stakeholders and report to the New Openings team on a regular basis.

· Develop an appropriate manning guide based on forecasted occupancy and the property scope, keeping in mind the profitability target.

· Assist with developing the pre-opening budget and operating supplies & equipment (OS&E) budget for new properties based on Aman Group standards.

· Maintain and execute relevant pre-opening administration and correspondence; following up where needed.

· Ensure that clear and specific communication is shared internally with all stakeholders, keeping them fully briefed on the progress of the pre-opening operations.

· Work closely as part of the New Openings team with regional operating colleagues to develop the new projects.

· Delegate tasks and liaise with all Corporate, and regional operation colleagues and General Managers as well as with third parties on all pre-opening related tasks.

· Work with the Aman New Openings team on agreed objectives and ensure appropriate use of technology to effectively communicate and influence throughout the organization in a timely, high-impact manner.

· Assign tasks to relevant key people on critical path tool once project has been handed over by Technical Services team.

· Responsible for training the corporate and property colleagues on the usage of the project management system.

· Identify areas of opportunity and drive continuous improvement initiatives.

· Provide on-property support during the opening countdown.

· Perform other duties as assigned.

· Travel to new openings when required.

Qualifications

· Strong communication & organizational skills

· Willingness, ability, and sensitivity to adapt to local cultures

· Strong administrative skills; experienced user in all common Microsoft office applications and ideally project

management technologies

· Previous experience in collaboration across multiple levels and geographical locations within an organization and proven ability to motivate and inspire colleagues

· At least four (4) years of relevant senior hotel management operational experience as a Director of Rooms, Food & Beverage, Operations or Hotel Manager in a comparable service models & luxury levels and preferably with experience in hotel openings

· Ability to set and manage priorities and optimises time (understand project scope, complexity, effort, risk, resource needs, and timelines)

· Ability to coordinate work under pressure with multiple stakeholders across different regions without losing the attention to detail while maintaining a strong attention to detail

· Capability to work simultaneously on multiple projects / pre-opening phases in different stages at the same time

· Excellent team player whilst maintaining an independent perspective

· Flexible with schedule and able to travel as needed

· Positive attitude and eagerness to learn

· Multilingual is preferred
