About the Role:
Join a dynamic project team where you'll play a central role in driving the successful execution of capital projects from inception through completion. As a Project Coordinator, you'll partner closely with Project Managers, vendors, contractors, and operational teams to keep projects on track, maintain critical schedules and reporting, and ensure seamless communication across stakeholders. This is an excellent opportunity for a highly organized professional who enjoys managing multiple priorities and making a tangible impact on complex industrial projects.

Here's a glimpse into your day to day:
Project Administration
  • Support Project Managers in the coordination and execution of capital and operational projects.
  • Maintain project documentation, files, meeting notes, and action item logs.
  • Track project milestones, deliverables, and key dates.
  • Prepare project status reports, dashboards, and executive summaries.
  • Assist with project closeout documentation and turnover packages.

Scheduling & Project Controls
  • Develop and maintain project schedules using Smartsheet and other project management tools.
  • Monitor schedule progress and identify potential delays or risks.
  • Collect project updates from internal stakeholders, consultants, contractors, and vendors.
  • Maintain project dashboards and reporting metrics.
  • Support project forecasting and progress tracking activities.

Financial & Cost Management
  • Assist with project cost tracking and budget monitoring.
  • Prepare monthly accrual reports and collect supporting documentation.
  • Support invoice review and reconciliation activities.
  • Maintain project cost logs and expenditure reports.
  • Assist Project Managers with budget updates and financial reporting.

Procurement Support
  • Create and process purchase requisitions and purchase order requests.
  • Track purchase order status and coordinate with procurement and finance teams.
  • Monitor vendor quotations, contracts, and project commitments.
  • Maintain procurement logs and equipment tracking reports.
  • Assist with vendor onboarding and documentation requirements.

Meetings & Communications
  • Schedule and coordinate project meetings.
  • Distribute meeting agendas, minutes, and action item registers.
  • Follow up with stakeholders to obtain project updates and required deliverables.
  • Facilitate communication between project teams, contractors, suppliers, and operations personnel.
  • Ensure project information is communicated accurately and timely.

You'll be a perfect fit if you have:
  • Associate's or Bachelor's degree in Business, Engineering, Construction Management, Project Management, or a related field preferred.
  • 2-5 years of project coordination, project administration, engineering support, or construction project experience.
  • Smartsheet experience required.
  • Experience supporting multiple concurrent projects.
  • Industrial manufacturing, chemical processing, construction, engineering, or capital project experience preferred.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience with project scheduling and reporting tools.
  • Familiarity with purchase requisition and PO processes.
  • Basic understanding of project budgeting, accruals, and cost tracking.
  • Experience with ERP systems such as Aptean Ross, SAP, Oracle, NetSuite, or similar is a plus.

Compensation and Benefits:
  • Pay: $90,000-110,000 annually (depending upon experience)
  • Eligible for overtime pay
  • Annual Profit Sharing Bonus (variable)
