Job Summary

To support our extraordinary team who build great products and contribute to our growth, we’re looking to add a Facilities HQ Office Manager located in Austin, Tx .  

Reporting to the Sr. Director, Facilities the  Facilities HQ Office Manager is responsible for the overall operation, maintenance, and workplace experience of the Austin and San Jose headquarters. This role oversees office services, facilities operations, vendor management, employee engagement activities, space planning, and administrative support to ensure a safe, efficient, and professional work environment across both locations.

What a typical day looks like:

  • Manage day-to-day operations of both headquarters locations.
  • Oversee reception, visitor management, office services, and workplace standards.
  • Coordinate office moves, seating assignments, and space utilization.
  • Maintain conference rooms, common areas, and workplace readiness.
  • Oversee maintenance, repairs, housekeeping, landscaping, and facility infrastructure.
  • Coordinate preventive maintenance, renovations, and space planning projects.
  • Support workplace safety, emergency preparedness, and business continuity activities.
  • Manage facility, catering, janitorial, and office service providers.
  • Monitor vendor performance, contracts, invoices, and service levels.
  • Coordinate purchase orders and support budget management.
  • Lead employee events, town halls, leadership visits, and workplace initiatives.
  • Ensure successful onboarding through workspace and office readiness.
  • Serve as the primary contact for workplace-related employee needs.
  • Support executives with meeting logistics, visitor coordination, and workplace communications.
  • Maintain facility records, procedures, reports, and documentation.
  • Drive process improvements and standardization across both sites.

The experience we’re looking to add to our team:

  • Bachelor's degree preferred in Business, Facilities Management, Hospitality, or related field.
  • 7+ years of experience in office management, facilities management, workplace operations, or corporate administration.
  • Experience supporting multi-site environments, managing vendors, budgets, and workplace services.
  • Strong organizational, communication, customer service, and project management skills.
  • Proficiency with Microsoft 365.
