The Executive Assistant to the CEO is one of the most critical roles at Imprint. You will serve as the right hand to our Founder and CEO, ensuring that their time, focus, and energy are directed toward the highest impact priorities across the business. This is not a traditional administrative role. You will operate as a true strategic partner who creates leverage for the CEO by managing complexity, anticipating needs, and keeping the operating rhythm of the company running smoothly behind the scenes.
Imprint is at a pivotal stage of growth. We have over 220 employees, are nearly doubling in revenue year over year, and are preparing to launch several major new brand partnerships. The CEO is deeply involved across product, partnerships, fundraising, board governance, and company culture. This role exists to make sure nothing falls through the cracks and that the CEO can operate at the highest possible level every single day.
You will be based in our New York City office and expected to be in the office when the CEO is in the office, which is most days. This role requires someone who thrives in a fast-paced, high-ownership environment and who genuinely loves the craft of being an exceptional Executive Assistant.
What You'll Do- Manage and optimize a complex, fast-moving calendar across multiple time zones, balancing internal meetings, board commitments, investor conversations, partner meetings, and personal time. Own the CEO's schedule entirely and make daily judgment calls about what gets prioritized, rescheduled, or declined.
- Coordinate all logistics for board meetings, investor meetings, and partner events including preparation of materials, room setup, travel arrangements, attendee communications, and follow-up items. Ensure the CEO walks into every meeting fully prepared and that nothing is left to chance.
- Manage all domestic and international travel end to end, including flights, hotels, ground transportation, itineraries, and backup plans. Anticipate complications before they arise and always have a plan B ready.
- Serve as a gatekeeper and liaison between the CEO and internal teams, external partners, investors, board members, and other stakeholders.
- Track and follow up on action items, commitments, and deliverables that come out of meetings and conversations. Maintain a running system that ensures nothing the CEO committed to gets dropped.
- Help prepare for key company moments including all-hands meetings, leadership offsites, and major announcements by coordinating logistics, gathering materials, and ensuring smooth execution.
- Support light personal tasks as needed to ensure the CEO can stay focused on the business during high-intensity periods.
- Proactively identify opportunities to improve how the CEO's office operates. Bring ideas for better systems, tools, and workflows that create more leverage and reduce friction.
What We're Looking For- 10+ years of experience as an Executive Assistant, with at least 2 years directly supporting a CEO or Founder at a high-growth technology or fintech company. You have supported an executive through a period of rapid scaling and understand what it takes to keep up with the pace.
- Exceptional organizational skills and attention to detail. You manage complexity with ease and have a system for everything. Nothing slips.
- Impeccable judgment and discretion. You will be exposed to highly sensitive information across every area of the business. Trust is non-negotiable.
- Strong written and verbal communication skills. You can draft emails, messages, and documents on behalf of the CEO that reflect the CEO's voice and standards.
- High ownership mentality. You don't wait to be told what to do. You see what needs to happen and you make it happen. You take pride in running a tight operation and you hold yourself to an extremely high bar.
- Comfort with ambiguity and changing priorities. In a company growing this fast, plans change constantly. You adapt quickly, reprioritize without drama, and keep everything moving forward.
- A genuine love for the Executive Assistant function. You see this role as your craft and your career, not a stepping stone to a different function. You take deep satisfaction in making the person you support more effective and in being the person the entire company trusts to keep things running.
- Proficiency with modern productivity tools including Google Workspace, Slack, Notion, and the ability to quickly adopt new tools and AI-powered workflows.
Nice to Have- Experience supporting a CEO through fundraising rounds, board processes, or an IPO.
- Familiarity with fintech, financial services, or payments.
- Experience at a company with 100 to 500 employees during a period of rapid growth.
