DIRECTOR OF FINANCE AND OPERATIONS

The Director of Finance and Operations is a senior leadership role that sits at the intersection of finance, tax, investments, technology, and operations - ensuring information flows accurately, risk are managed proactively, and the office operates with institutional rigor while maintaining a high-touch, service-oriented culture. In addition to developing, managing, and mentoring staff, this role serves as the senior relationship manager for the family, along with family branches, developing trusted relationships with family members and coordinating the delivery of comprehensive family office services. Reporting directly to the CEO of the family board, this is a supervisory position overseeing an Investment Officer and a Senior Accountant.

CORE RESPONSIBILITIES

Financial Management & Tax

Serve as a strategic leader of tax planning, estate and gift strategies, budgeting, and cash flow management for individuals, trusts and entities, in collaboration with external advisors

Coordinate income tax compliance for individuals, trusts, partnerships, and related entities in partnership with internal team members and external tax advisors/preparers

Manage timelines, information flow, and review processes for returns, estimates, extensions, and payments

Translate complex tax concepts into clear, actionable implications for internal stakeholders

Investment Operations & Reporting

Oversee investment transactions and operations across public and private assets and life insurance

Partner with the Investment Officer to maintain and enhance investment policies and consolidated investment reporting

Ensure timely, accurate, and decision-useful performance, allocation, liquidity, and cash flow reporting

Execute capital calls, distributions, and ensure reconciliation with custodians, managers, administrators

Support investment and liquidity planning with scenario analysis and forward-looking insights

Technology Integration & Data Infrastructure

Own the office technology ecosystem across accounting, investment reporting, document management, and AI tools

Evaluate and optimize systems to improve data integrity, efficiency, and transparency

Ensure reliable data architecture, reporting automation, and strong controls

Serve as a key liaison with software vendors and technology consultants

Family Relationship Management

Serve as the senior relationship manager for family branches, building trusted, long-term relationships across generations

Develop a deep understanding of each family member's goals, priorities, circumstances, and service needs

Proactively coordinate and oversee the delivery of family office services by fostering an environment of respect, transparency, integrity, and teamwork

Assist with development of next generation in areas of financial literacy/planning, investment acumen, philanthropic investment

Compliance, Risk Management & Controls

Oversee financial, operational, and information-security controls to mitigate risk and ensure best practices

Coordinate insurance, risk assessments, and compliance activities across entities in partnership with staff

Operations-Related Project Management

Lead and execute cross-functional operational projects, including process improvements, system implementations, and workflow redesign

Leverage technology to proactively optimize the family office functions

Education and Skills

15+ years of progressive experience in finance, tax and/or legal, ideally in family office/private wealth environments

Bachelor's degree in Accounting, Finance, or related field; graduate degree or certificates a plus, CPA license preferred

Demonstrated experience managing high-net-worth client relationships

Experience coordinating across multidisciplinary advisor teams, including legal, tax, investment, insurance, and banking professionals

Strong understanding of investment operations across multiple asset classes and entity structures

High level of comfort with financial systems, reporting platforms, and technology integration

Understanding of partnership accounting and trust management

Exceptional organizational skills with the ability to manage multiple workstreams simultaneously

Proven judgment, integrity, and discretion with confidential and sensitive matters

Ability to communicate complex financial concepts to non-technical audiences
