Full Job Description
Position Summary:

We have an exciting opportunity to join our team as a Assistant Director - Finance & Admin.

The Assistant Director, Finance & Admin provides leadership and oversight for pre-award and post-award activities, as well as financial management of non-grant accounts, across assigned departments. The role manages and develops research administration staff, ensures consistent and compliant grant and financial management, and serves as a senior resource for complex financial and research administration matters. Working closely with faculty, departmental leadership, and central research and finance teams, the Assistant Director monitors the overall financial health of supported departments, identifies risks and opportunities, and provides strategic guidance and recommendations related to financial management, resource allocation, and research administration.

Job Responsibilities:

1. Provides leadership and operational oversight of pre-award and post-award research administration teams supporting assigned department and faculty portfolios with close integration into the assigned departments
administrative and financial operations.
2. Partners with pre-award and post-award managers to establish priorities, manage workload and staff capacity, and ensure appropriate coverage and timely completion of responsibilities while aligning team activities with the priorities of the assigned department and its leadership.
3. Provides guidance and escalation support to managers and staff on complex grant administration, financial, sponsor, and institutional matters and assists with developing appropriate solutions in coordination with the assigned departments chair and department administrator, as appropriate.
4. Supports staff development through coaching, training, performance feedback, and professional development opportunities.
5. Serves as the primary point of contact for strategic financial planning for the assigned department, working closely with the department chair, department administrator, faculty, and laboratories to provide strategic financial guidance across sponsored research portfolios and non-sponsored budgets, including review of financial performance, funding gaps, trends, and areas of financial risk or opportunity.
6. Reviews financial projections and advises leadership on the financial impact of staffing decisions, faculty commitments, funding changes, and other operational decisions.
7. Works with managers, staff, faculty, and departmental leadership to address complex financial and administrative issues, including projected deficits, significant unspent balances, funding gaps, and compliance concerns.
8. Supports departmental budgeting, forecasting, and long-term financial planning and works with leadership to anticipate future funding needs and support continuity of research operations.
9. Serves as a subject matter resource on institutional and sponsor policies related to sponsored research administration and ensures relevant policy and procedural changes are communicated and implemented across supported teams.

10. Institutional research liaison: serve as primary representative for relationships with institutional and affiliated research resources at NYULMC including Finance, SPA, OSR, OCT IRB, TOV, etc.
11. Maintains a strong, collaborative, and highly integrated partnership with the assigned department to ensure effective financial operations, decision support, and alignment with departmental strategic priorities.

Minimum Qualifications:
  • To qualify you must have a Bachelors degree in Business, Health Administration, or a related discipline required
  • Minimum of 8yrs. progressively responsible experience managing budgets, business development and financial operations of complex matrix organizations at academic medical centers
    Excellent interpersonal and communication skills.


Preferred Qualifications:

Expertise in Microsoft Office software

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $101,493.51 - $174,099.74 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
