Basic Function
Under the direction of an administrator or manager, provides support services for the college's degree audit software.; evaluates campus degree and program requirements.; reviews the quality baseline that serves as the foundation for subsequent revisions to the degrees, majors, minors, programs, and concentrations.
Representative Duties
1. Review and evaluates incoming transfer records and transcripts, audit records, and enters data into the college's student information system (SIS) and degree audit software system. E
2. Establishes course equivalencies; develops and maintains an updated cross reference system of courses from other colleges and universities to Rio Hondo College. E
3. Oversees, audits, updates, and maintains content for the degree audit system; ensures all degree and certificate information is updated and accurate for students, advisors, faculty, Financial Aid, graduation, Veterans Services, all academic departments, and end users; audits coding edited or input by others E
4. Tests and validates the college's degree audit configuration and web audit output. E
5. Responds to inquiries and requests related to system requirements, business processes, course requirements, web audit outputs, and desired outcomes. E
6. Runs test configurations in the degree audit software for quality control purposes E
7. Collaborates with staff, faculty, administrators, and internal departments to research and resolve complex system issues related to student records as the information is applied in the degree audit system. E
8. Develops and maintains the accuracy, availability, and integrity of the degree audit system configuration. E
9. Defines, analyzes, and resolves end user problems; documents known issues and resolutions for reference; shares knowledge documents and/or articles with Information Technology and other staff working in the degree audit system. E
10. Serves as the liaison between various District and college departments and A&R regarding the automated degree audit system. E
11. Reviews information on degree requirements, college and university policies related to major requirements as mandated by the California Community College Chancellor's Office (CCCCO). E
12. Work with appropriate committees and department staff to analyze, interpret, apply, and explain transfer credit as entered in the degree audit software. E
13. Assists counselors as needed to resolve problems and/or issues; analyzes degree audit records; identifies and reports errors in the degree audit configuration. E
14. Provides test control of input and output documents. E
15. Trains and instructs and advises users on proper and efficient system operations; assists users in resolving online and/or web data output. E
16. Performs a variety of clerical and administrative duties in support of the department's day-to-day activities and/or operations including but not limited to greets and directs visitors, answers phone calls, responds to callers, and directs incoming phone calls; opens, screens, and distributes mail and correspondence; photocopies documents and requests duplication services; ensures maintenance and repairs of assigned work areas, facilities, or equipment; enters various requests for services from IT, Facilities, and Maintenance; contacts vendors for equipment service, when needed; follows-up with vendors to ensure satisfactory completion or requests; may perform simple repairs or maintenance standard office equipment. E
17. May provide work guidance and/or direction to subordinate level classified staff, student workers, student assistants, and/or short-term, temporary staff.
18. May evaluate student records for degree and certificate requirements (credit, noncredit, and Bachelor programs) and award accordingly.
19. Performs related duties that support the overall objective of the position.
Knowledge and Abilities
Knowledge of:
• District and college policies, procedures, rules, and regulations related to the area of assignment.
• Federal, state, and local laws, codes, and regulations and District policies and practices pertinent to the area of responsibility.
• Principles, techniques, and concepts related to the troubleshooting of computer systems.
• California Education Code and Title V as it relates to the area of assignment.
• Federal Educational Rights and Privacy Act (FERPA).
• District organization, operations, policies, and objectives.
• District and college databases and Enterprise Resource Planning (ERP) systems such as Banner.
• Assist with automating technology as it applies to system analysis, data processing, data integrity, and computer operations.
• Community college degree requirements.
• Academic course work, transfer credit, and grade point average calculations.
• Accreditation standards for academic scholarships.
• Articulation of coursework.
• Best practices and procedures on use of various office equipment.
• Correct English usage, grammar, spelling, punctuation, and vocabulary.
• Effective communication techniques and interpersonal skills using tact, patience, and courtesy.
• Methods and techniques of record keeping, filing, file sharing, and filing systems.
• Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).

Education and Experience
• Bachelor's Degree in Information Technology, Education, or related discipline; AND
• Three (3) years of experience with college and/or university registration and/or student advisement activities.
• Experience with web-based and application software tools.
• Or, any combination of education and experience which would provide the required qualifications for the position.
Equivalencies
Foreign Degrees
Any degree from a country other than the United States, including Canada and Great Britain, must be evaluated by an Evaluation Service prior to the closing date. Certification must be attached with copies of transcripts.
License Certificates/Credentials
• Possession of, or ability to obtain, a valid driver license.
• May be required to travel for various off-site meetings, trainings, conferences, and or events in support of the overall objective of the position.
Desired Qualifications
• Five (5) years of related experience in a student services and/or support environment.
Distinguishable Characteristics
The Admissions and Records (A&R) Systems Analyst performs specialized responsibilities to support the day-to-day activities of the Admissions and Records office including but not limited to degree audit review and verification, student enrollment, transfer, and transcript and articulation verification through the District's Degree Audit System. The Admissions and Records Systems Analyst executes the essential responsibilities under limited supervision exercising a moderate level of independence within established guidelines, policies, and procedures related to the area and scope of the assignment.
