Position Summary

The Student Systems and Process Improvement Specialist plays a central role in advancing Roosevelt University's student success and operational excellence goals by leading the deployment of new registrar software systems and strengthening university data reporting and analytics capacity. Approximately half the position focuses on software project management-planning, coordinating, and overseeing the implementation and integration of new registrar technologies, and successful adoption and the effective use of AI. The remaining portion supports building and maintaining reports, analyzing data discrepancies, data quality, data definitions, and ensuring reliable, actionable information for decision-making.

The salary range for this position is $80,000-$82,500

Knowledge, Skills and Abilities Required

Minimum of three years hands-on project management leadership experience in a higher education environment on multiple large-scale projects. Experience on the functional side of at least one major system of any Ellucian Banner system.

Knowledge of the design, development and maintenance of reports and dashboards using Argos, EAB Edify, other analytics platforms and AI. Collaboration with departments to translate business questions into data requirements and produce actionable insights. Maintain documentation, metadata definitions, and data quality standards. Facilitation of data governance. The building and maintenance of reports, analyzing data discrepancies, data quality, data definitions and ensuring reliable, actionable information for decision-making.

Exceptional communication skills and the ability to communicate appropriately at all levels of the organization; this includes written and verbal communications as well as visualizations.

Regular use of desktop computers is required, calling for frequent hand/wrist movement and repetition. Moderate level of stress. Occasional travel within the local or regional setting may be required.

Duty and Responsibility

Registrar Software Deployment & Project Management:

  • Serve as the project manager for new Registrar technology initiatives, leading projects from planning and requirements gathering through implementation, assessment, and ongoing improvement while ensuring alignment with institutional needs.
  • Develop and maintain project plans, timelines, milestones, deliverables, decision logs, risk and issue tracking, testing plans, and status communications.
  • Coordinate the configuration, integration, testing, and implementation of Registrar software with Banner and other enterprise systems, incorporating AI-enabled capabilities when appropriate and aligned with institutional standards.
  • Facilitate user acceptance testing (UAT), develop documentation, training materials, standard operating procedures, and knowledge-transfer resources.
  • Support change management, stakeholder communication, training, and adoption of new systems and processes.

  • Perform detailed analysis of data discrepancies and system issues, identify root causes, and collaborate with stakeholders to implement sustainable solutions.
  • Facilitate data governance for student data through policies, processes, and controls that support data security, integrity, usability, and availability.
  • Partner with Registrar staff to create routine and ad hoc reports that identify data discrepancies, compliance issues, and operational inefficiencies.
  • Train end users to access, interpret, and apply reporting tools effectively.

Process Improvement & Integration Support:

  • Analyze existing Registrar business processes and lead process-improvement initiatives by identifying and implementing AI-enabled and technology-driven solutions that improve efficiency, effectiveness, and user experience.
  • Identify opportunities to streamline workflows, reduce errors, strengthen compliance, and improve service through process redesign and the responsible use of AI.
  • Collaborate effectively with colleagues across departments, demonstrating a team-oriented approach to problem-solving, project execution, and continuous improvement.
  • Maintain clear project and system documentation to support accountability, continuity, audit readiness, and knowledge sharing.
  • Contribute to IT and Registrar strategic planning by recommending emerging technologies, AI opportunities, and reporting solutions.
