Full Job Description
We are seeking a highly skilled, proactive, and exceptionally organized Executive Assistant to provide comprehensive administrative support to the office of the President and Chief Operating Officer. This individual will serve as a critical partner to the Senior Executive Assistant supporting the President & COO, collaborate closely with the Vice President of Communications, and function as a skilled administrative floater across the broader executive team as business needs require. The ideal candidate brings a high degree of professionalism, discretion, and the ability to manage multiple concurrent priorities in a dynamic, fast-paced global environment.

What You Can Expect
Key Responsibilities

Senior Executive Assistant Support
  • Partner closely with and report to the Senior Executive Assistant to the President & COO, providing seamless day-to-day administrative support and ensuring continuity of operations across the executive office.
  • Proactively assist with calendar and schedule management, coordinating appointments, meetings, and priorities on behalf of the office of the President & COO.
  • Serve as a knowledgeable backup and resource for the Senior EA, assuming full responsibilities as needed during planned or unplanned absences.
  • Contribute to the preparation of briefing documents, agendas, talking points, and meeting materials in support of the office of the President & COO.


VP of Communications Support
  • Provide dedicated administrative support to the Vice President of Communications, including calendar management, correspondence, travel coordination, and meeting preparation.
  • Assist with the coordination of internal and external communications initiatives, events, and executive messaging activities as directed.
  • Support the preparation and distribution of executive communications, presentations, and stakeholder materials.


Administrative Floater Responsibilities
  • Serve as a skilled administrative resource across the broader executive team, providing coverage and support for other administrative roles within the company as business needs dictate.
  • Maintain the flexibility and cross-functional knowledge required to step into various administrative capacities with minimal transition time.
  • Build and maintain strong working relationships across the executive administrative team to enable efficient collaboration and knowledge-sharing.


Calendar & Schedule Management
  • Proactively manage and prioritize complex executive calendars, coordinating appointments, meetings, and travel, ensuring time is allocated effectively and conflicts are resolved in advance.


Travel Coordination
  • Arrange complex domestic and international travel itineraries, ensuring all logistics are handled end-to-end, including flights, accommodations, ground transportation, passports, visas and meeting schedules.


Meeting Support if required
  • Follow up on action items for internal and external meetings involving the office of the President & COO, VP of Communications, and other supported executives.


Document Preparation
  • Draft, edit, and format correspondence, reports, presentations, and other professional documents for the President & COO, VP of Communications, and the broader executive leadership team if needed.


Expense Management
  • Submit expense reports on behalf of supported executives, ensuring all submissions are accurate, timely, and in full compliance with company policies.


Confidentiality & Discretion
  • Handle all sensitive, proprietary, and confidential information with the highest level of professionalism and discretion at all times.


Liaison Role
  • Serve as a secondary point of contact between the office of the President & COO, VP of Communications, and internal teams, clients, and external partners, facilitating smooth communication and collaboration across departments.


Executive Admin Team
  • Work collaboratively and productively as an integral member of the Senior and Executive Administrative staff, fostering a culture of teamwork, responsiveness, and mutual support.


General Office Support
  • Ensure smooth and efficient office operations, including managing office supplies, coordinating new hire equipment needs, and supporting general administrative functions as required.


What We're Looking For
Minimum Qualifications
  • Minimum of 7+ years of experience supporting senior executives, preferably in a fast-paced, global corporate or technology-driven environment.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), Concur, Zoom, Oracle, Slack.
  • Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively across a complex executive office.
  • Excellent written and verbal communication skills, with a strong attention to detail and executive presence.
  • Strong problem-solving skills and the ability to work independently as well as part of a collaborative administrative team.
  • Proven ability to handle highly confidential and sensitive information with the utmost professionalism and discretion.
  • Global awareness and demonstrated ability to work across time zones in support of a worldwide organization.

Preferred Qualifications
  • Prior experience supporting a President, COO, or C-suite executive in a global technology or semiconductor company.
  • Experience partnering with Communications, including but not limited to, Marketing, Public Affairs functions, Operations, Information Technology, Sales, Supply Chain Planning, Procurement, including support of executive visibility and messaging activities.
  • Demonstrated experience functioning as an administrative floater or backup across multiple executive offices.
  • Advanced knowledge of preparing and refining presentations for C-level executives.
  • Experience managing executive expense reporting in compliance with corporate policies, travel management and passport/visa execution.
  • Coordinating logistics and partnering with events for team offsites, all hands, town halls, volunteer and/or team building events.


Expected Base Pay Range (USD)
39 - 59, $ per hour.

The successful candidate's starting base pay will be determined based on job-related skills, experience, qualifications, work location and market conditions. The expected base pay range for this role may be modified based on market conditions.
