About the job Shafts & Headframes Package Coordinator
The Shafts & Headframes Package Coordinator supports the coordination and delivery of shaft and headframe packages for mining projects. This position works closely with engineering, procurement, project controls, construction, vendors, contractors, and site teams to coordinate technical deliverables, procurement activities, schedules, and project documentation throughout the project lifecycle.
Responsibilities:Package Coordination- Coordinate the development and execution of shaft and headframe packages from engineering through procurement, construction, and commissioning.
- Maintain package schedules, trackers, action items, and status reports to monitor progress and key milestones.
- Coordinate requirements and deliverables across mining, civil, structural, mechanical, electrical, hoisting, and construction disciplines.
- Track package scope, deliverables, approvals, outstanding actions, and changes.
- Identify potential delays, interfaces, and issues that may impact schedule, cost, or execution and escalate as required.
Engineering & Technical Coordination- Coordinate the flow of technical information between engineering teams, consultants, vendors, and contractors.
- Track engineering deliverables including drawings, specifications, calculations, reports, datasheets, and technical submissions.
- Coordinate technical reviews, comments, approvals, and responses to Requests for Information (RFIs) and technical queries.
- Assist with coordinating shaft and headframe interfaces, including shaft infrastructure, headframe structures, hoisting systems, conveyances, shaft stations, and associated facilities.
- Participate in design reviews, constructability reviews, and multidisciplinary coordination meetings.
Vendor & Procurement Coordination- Support preparation and administration of Requests for Proposals (RFPs), Requests to Award (RTAs), purchase orders, and procurement documentation.
- Coordinate vendor submissions, technical documentation, approvals, and outstanding deliverables.
- Assist engineering and procurement teams with technical bid evaluations and vendor clarifications.
- Track procurement milestones including award, engineering, manufacturing, inspection, shipment, and delivery.
- Coordinate vendor meetings and follow up on outstanding technical and commercial actions.
Schedule & Cost Tracking- Maintain package schedules and monitor progress against project milestones.
- Track engineering, procurement, fabrication, construction, and delivery activities.
- Support quantity tracking, progress measurement, and cost reporting.
- Maintain package action, risk, and issue registers.
- Prepare regular package status updates and reports for project management and project controls.
- Identify changes that may affect package scope, cost, or schedule.
Construction & Site Coordination- Support coordination between engineering, contractors, vendors, and site teams during construction and installation.
- Coordinate site requirements, inspections, technical queries, and field changes.
- Assist with tracking shaft sinking, headframe construction, equipment installation, and related infrastructure activities as applicable to the project.
- Participate in site meetings, progress reviews, inspections, and construction coordination activities.
- Support commissioning, handover, and closeout of the shaft and headframe package.
Documentation & Quality Assurance- Maintain accurate and organized package documentation throughout the project lifecycle.
- Track vendor and contractor documentation and ensure required deliverables are received and distributed.
- Support document control and ensure current drawings, specifications, and technical information are available to project stakeholders.
- Assist with quality documentation, inspections, testing, and equipment acceptance activities.
- Support package closeout and handover documentation.
Interdisciplinary Coordination- Liaise with engineering, procurement, project controls, construction, commissioning, vendors, contractors, and site operations.
- Coordinate interfaces between shaft and headframe systems and other mine infrastructure and project packages.
- Participate in coordination meetings and maintain action items and follow-up requirements.
- Communicate package status, outstanding issues, risks, and schedule impacts to the project team.
Package Details
Work ScheduleThis is a full-time position with flexibility for hybrid remote work. Travel to mine sites, project locations, vendor facilities, and construction sites may be required. Site-based or rotational work may be required depending on project requirements.
Qualifications/Experience/Education Requirements- Diploma or university degree in Engineering, Mining, Construction Management, Project Management, or a related technical field.
- 5+ years of experience in project coordination, package coordination, construction coordination, or a related role.
- Experience working on mining projects, preferably involving shafts, headframes, hoisting systems, or underground mine infrastructure.
- Experience coordinating engineering deliverables, vendors, contractors, and procurement activities.
- Understanding of mining project delivery and multidisciplinary engineering interfaces.
- Ability to read and interpret engineering drawings, specifications, and technical documentation.
- Strong organizational and document management skills.
- Proficient in Microsoft Office, particularly Excel and Word.
- Experience with project scheduling, project controls, procurement, or document management systems is an asset.
- Experience working in remote or active mine-site environments is an asset.
