Agency:TMA
Job Function:Projects and Performance Improvement
Job Subfunction: Project and Program Management
Job Description:As a
Senior Project Manager at dotdotdash, you support a large, fast-paced program made up of multiple workstreams, keeping the team, the client, and the work moving in the same direction. You are the person who turns a busy program into an organized one: meetings land on the calendar, feedback is captured and closed out, status is always current, and the budget is tracked to the line.
Reporting into the Director, Integrated Project Management and partnering closely with Producers, Accounts, Creative, and Technology, you help keep the program running day to day. You coordinate reviews and feedback across team and client, maintain internal and client status documents, lead budget tracking and analysis, and help track dependencies across the program. This is a hands-on role: alongside program support, you own delivery of one or more workstreams yourself, from initial briefing through quality assurance (QA) and final delivery.
KEY RESPONSIBILITIES:- Support a large, fast-paced program made up of multiple workstreams, keeping day-to-day delivery organized and on track.
- Own hands-on delivery of one or more workstreams within the program, from initial briefing through final delivery, including quality assurance (QA).
- Coordinate team and client calendars, scheduling meetings, reviews, and check-ins so the right people are in the room at the right time.
- Support the review cycle, capturing notes and actions, and tracking feedback from receipt through to resolution.
- Ensure feedback has been implemented accurately, and that work meets client requirements before it goes out the door.
- Manage project status by keeping internal and client status documents up to date as the current source of truth.
- Lead project budget tracking and analysis, monitoring hours and out-of-pocket (OOP) costs against plan and flagging variances early.
- Support Executive Producer and Director of Integrated Project Management with forecasting, burn reporting, and change orders when scope shifts.
- Collaborate with Producers to coordinate and track dependencies across the program, so no workstream sits blocked
- Work with the Design Director to maintain the library of creative assets, including tracking usage rights and clearance status.
- Keep project files, deliverables, and assets organized with clear naming and version control so the team can retrieve and reuse work easily.
- Communicate status, next steps, and decisions needed to internal teams and clients, aligning with account leads on messaging.
- Support the wider studio with production needs, where relevant.
- Follow and champion dotdotdash delivery best practices, tooling, and methodology across the program.
QUALIFICATIONS: - 5-7 years of project-management experience supporting or delivering integrated, creative, or digital work, ideally in an agency environment.
- Strong fundamentals in project planning, scheduling, status reporting, and risk and dependency tracking, with the judgment to adapt process to a fast-moving production environment.
- Experience working within a large, multi-workstream program, coordinating across several teams and deliverables at once.
- Hands-on experience delivering a workstream end to end, from briefing through to final delivery.
- Proven ability to manage review cycles and feedback - capturing, tracking, and confirming that client requirements have been met.
- Strong budget tracking and analysis experience, including hours and out-of-pocket (OOP) costs against plan.
- Experience managing creative asset libraries, including tracking usage rights and clearance, is a plus.
- Proficiency with project-management and delivery tooling (Smartsheets, Productive, Workfront; Ariba for vendors and procurement; Microsoft D365 for finance).
- Demonstrated ability to coordinate across Producers, Accounts, Creative, and Technology.
- Exceptional organization and attention to detail, with the ability to keep multiple calendars, documents, and trackers current at once.
- Strong written and verbal communication skills for documenting and presenting project status to internal teams and clients.
- Client-facing delivery experience, communicating status, and schedules directly with clients
