Opportunity

Salt is looking for a Senior Executive Assistant and Office Lead to support our leadership team. This role goes beyond traditional EA support. We need someone who can anticipate needs, exercise independent judgment, and own outcomes, not just tasks. A genuine interest in Marketing, Experiential, and Live Events is essential. This is a demanding, fast-moving role for someone who takes initiative without being asked twice.

Executive Support Responsibilities

  • Calendar Management: Own and manage calendars for three executives, including proactively resolving conflicts and prioritizing time across multiple time zones.
  • Meeting Strategy: Determine what meetings are necessary, coordinate logistics, and ensure the right people and information are in the room.
  • Contact Management: Build and maintain a comprehensive contact system, flagging sensitive updates to the right people at the right time.
  • Project Tracking: Monitor ongoing projects across the company, proactively reporting status, risks, and deadlines to executives before being asked.
  • Agenda Management: Prepare agendas and follow up to ensure accountability on action items post-meeting.
  • Travel Coordination: Manage domestic and international travel end-to-end, including budgeting and expense reconciliation.
  • Document Preparation: Independently produce polished presentations, reports, and documents using Google Suite.
  • Internal Communication: Serve as a trusted point of contact internally and externally, exercising discretion on what needs executive attention versus what you can resolve yourself.
  • Ad Hoc Support: Lead (not just support) team projects, events, and offsite planning as needed.

Office Coordination Responsibilities

  • Office Setup & Coordination: Lead the setup of the new Los Angeles office, ensuring it's functional and fully equipped at launch.
  • Vendor & Supplies Management: Own vendor relationships, including negotiating terms and managing office services.
  • Event Planning: Lead internal events, offsites, and team appreciation efforts from concept to execution.
  • Facilities Management: Own day-to-day office logistics and resolve issues independently before they escalate.
  • Office Communication: Serve as the go-to contact for office updates and operations.
  • Budgeting & Expenses: Track office expenses, partner with finance on budget compliance, and flag issues proactively.

Requirements / Qualifications

  • 5-7 years of experience as an Executive Assistant, with demonstrated experience supporting multiple executives simultaneously.
  • A track record of exercising independent judgment and taking initiative without close supervision.
  • Advanced proficiency with Google calendaring and Suite in a business environment.
  • Excellent organizational, time-management, and communication skills, with the ability to see the big picture and prioritize accordingly.
  • Comfortable operating at all levels of the organization, from junior staff to executives.
  • High discretion and maturity. Able to handle confidential information without exception.
  • Strong attention to detail balanced with the ability to multitask under pressure.
  • Solid interpersonal skills and a positive, adaptable attitude, especially when priorities shift.
  • A belief that no contribution to the team is too big or too small, paired with the confidence to push back or flag issues when needed.
