Position Summary

This position is responsible for assisting with client servicing and transfer agency operations within the AWMS client services department, which encompasses four key areas: Investor/Advisor Services, Transfer Agency Oversight, Onboarding, and Controls and Enablement. Support specialized institutional, offshore, tender, and complex transfer agency workflows, including responsibilities currently handled by senior Client Services team members across operational exception management, partner coordination, and process documentation.

Primary Functions & Responsibilities
  • Contribute to the design and execution of key processing workflows to ensure high-quality shareholder servicing for investors and advisors. Assist in overseeing client service teams handling inbound phone and written inquiries, researching and resolving shareholder-related matters, and making outbound calls as needed.
  • Support third-party transfer agent functions by helping monitor service levels, assisting in workflow coordination between broker-dealer partners, and participating in technical, design, and operational reviews of distributions, redemptions, and purchases.
  • Acts as a leader through expertise, collaboration, and a team-first mindset. Serves as a resource to peers, actively supports team development, and approaches all responsibilities with a willingness to contribute wherever needed. Communicates effectively across virtual and in-person settings to foster strong partnerships and seamless collaboration within a geographically distributed team
  • Collaborate with Ares Wealth Management Solutions and the introducing broker-dealer's management team to enhance wholesaler operational education, improve processes, and contribute to optimizing the advisor and home office operational experience.
  • Support the development and implementation of training and onboarding initiatives to ensure a seamless integration of new team members and enhance operational efficiency.
  • Support complex transfer agency exception resolution, including pending purchases, trade cancellations, re-registrations, intermediary set ups, check stop-and-reissue requests, manual wires, foreign wire instructions, CIP review items, and open problem-item follow-up with the transfer agent.
  • Coordinate with key distribution partners, custodians, and platforms, to validate trade files, dealer mappings, distribution files, subscription submissions, and platform-specific operating requirements.
  • Assist in tender offer and periodic liquidity workflows, including playbook preparation, pre-event readiness, tender file reconciliation, DRP versus cash election review, full redeemer validation, missed or late tender escalation, test proration review, live processing support, and post-event issue tracking.
  • Maintain and update operational trackers and SharePoint logs for corrections, open items, escalations, and transfer agency service issues; help prepare status updates, root-cause summaries, and follow-up items for internal stakeholders and vendor meetings.
  • Help document repeatable procedures and training materials for new hires and cross-functional partners, including call center guidance, transfer agency workflows, offshore/institutional processes, exception handling, and lessons learned from recurring operational issues.

Experience Required
  • 7+ years of investor servicing in Alternative Investments either with financial intermediaries, transfer agents, or product sponsors
  • Proven ability and strong desire to work in a fast-paced, entrepreneurial environment required.
  • Ability to learn and utilize service provider technology systems required.
  • Effective communication skills required, including ability to interact with external financial advisor clients and investors.
  • Highly organized, with a conscientious approach to work and dependability required.
  • Proficient in Microsoft programs.

Compensation

The anticipated base salary range for this position is listed below. Total compensation may also include a discretionary performance-based bonus. Note, the range takes into account a broad spectrum of qualifications, including, but not limited to, years of relevant work experience, education, and other relevant qualifications specific to the role.
