Full Job Description
Summary of Position
  • Oversee the management of facilities for all lines of business within assigned region, including ACPNY medical offices, as well as third-party relationships within assigned buildings.
  • Lead the Facilities Management team in the delivery of facility management services for assigned sites in accordance with all local, state, and federal requirements.


Principal Accountabilities
  • Manage the delivery of facilities services to assigned portfolio; deliver portfolio management reports as required.
  • Act as a primary point of escalation for the business across the assigned region.
  • Develop and implement innovative programs and processes that reduce short and long-term operating costs and increase productivity. Oversee preventative maintenance to ensure reliability of systems while driving consistency.
  • Ensure compliance with all health, safety, environmental and risk management policies and procedures.
  • Support business-wide initiatives such as compliance reviews, audits, training programs, etc.; drive implementation of initiatives, processes, etc., at a regional level.
  • Oversee delivery of initiatives such as benchmarking, best practices and continuous improvement.
  • Collaborate with other teams internally including health services, transportation, security, and network ops (IT).
  • Manage the delivery of moves, adds, and changes; support business projects of furniture fixtures & equipment procurement and capital projects; manage small (<$100K) construction projects; act as the area point of escalation.
  • Proactively develop and manage business relationships, ensuring that expected service levels are achieved.
  • Ensure vendors meet service delivery standards, including documenting and managing scope changes and performance shortfalls.
  • Achieve cost savings through maximizing utilization of suppliers, preferred vendors/contractors; identify additional efficiency opportunities, consistent with department goals.
  • Develop and manage Facility operating budgets for the assigned portfolio(s).
  • Track variances and manage within target of agreed budgets, identifying efficiencies and savings where possible.
  • Achieve cost savings through maximizing utilization of suppliers, preferred vendors/contractors and identifying additional efficiency opportunities. Manage payments to vendors, complying with all relevant policies & procedures.
  • Represent facilities in developing, planning, and supporting the business' annual capital plan for each building, interfacing closely with the business and department representatives.
  • Manage and develop a high quality, well-motivated and engaged Facility Management and maintenance team.
  • Mentor, train, and support Facilities Managers to enable an environment of teamwork, co-operation, performance excellence and personal success across the portfolio.
  • Input weekly Facilities Maintenance staff payroll; manage, approve, and schedule accordingly Facilities Maintenance


Qualifications

Education, Training, Licenses, Certifications
  • Bachelor's degree in relevant field such as engineering, architecture, construction, or business management.
  • Industry certifications in Facilities, Construction and Project Management preferred.
  • Certified affiliations with IFMA, BOMA, ASIS preferred.


Relevant Work Experience, Knowledge, Skills, and Abilities
  • 5 - 8+ years' experience managing multiple properties, including medical office properties, and staff.
  • Additional experience/specialized training may be considered in lieu of degree.
  • Willingness to work off shift and weekends as needed to support after-hours work including facility planned and unplanned outages (emergencies); must be available 24/7/365.
  • Excellent communication skills (verbal, written, presentation, interpersonal) with all types/levels of audience.
    Proven track record/ability to lead, manage, and motivate staff.
  • Ability to analyze the operation of various site infrastructure systems, determine root causes of problem/malfunctions and take corrective action, both locally and across the portfolio, as required.
  • Proficient with MS Office (Word, Excel, PowerPoint, Outlook, Teams, etc.), Oracle, and ADP (payroll).
  • Strong organizational skills and collaborative management style.
  • Advanced technical knowledge of building systems, Uninterrupted Power Supply, electrical, mechanical, plumbing, HVAC, Fire Life Safety.
  • Ability to analyze, and interpret legal documents (lease agreements, claims of lien, etc.), technical procedures, and governmental regulations.
