Planner/Scheduler Manager

Position Overview

The Planner/Scheduler Manager provides strategic leadership and daily operational oversight of the maintenance, housekeeping, and indirect materials management functions for a corporate facility. This role ensures the safe and effective maintenance of building systems, delivers exceptional tenant service, and manages the preventative maintenance program to maximize equipment uptime and lifecycle performance. The Planner/Scheduler Manager partners closely with the Senior Facility Manager and client Facility Area Manager to achieve operational excellence and client satisfaction.



Essential Duties and Responsibilities

Leadership & Team Management

  • Lead and develop facilities staff to deliver expected service levels within prescribed budgets
  • Manage work assignments for building technicians, vendors, and contractors
  • Provide coaching and performance management to direct reports throughout the year to achieve objectives and develop professional skills
  • Address employee performance issues promptly and effectively
  • Pursue training resources to improve team capabilities and technical competencies

Operational Excellence

  • Oversee preventative maintenance program to ensure building systems meet or exceed rated uptime and lifecycle expectations
  • Perform daily facility inspections and coordinate outstanding projects with operations team
  • Manage contractor activities on-site, ensuring compliance with all JLL and client policies
  • Oversee overall service delivery of contracted services and vendor management programs
  • Ensure all safety, compliance, and service delivery standards are met consistently

Client & Stakeholder Management

  • Ensure client satisfaction by providing seamless interface between client real estate organization and facilities operations
  • Interface directly with building occupants and tenants to resolve site issues
  • Manage client expectations through leadership, responsiveness, and creative problem-solving
  • Provide lead role in monitoring and increasing customer satisfaction
  • Collaborate with JLL teams on lease administration and tenant coordination

Financial & Reporting Management

  • Prepare and manage monthly operating budgets and forecasts
  • Complete monthly variance reports and analyze budget performance
  • Recommend capital improvements and prepare operating budget reports
  • Oversee monthly, quarterly, and annual reporting requirements based on client needs
  • Complete all facilities-related reports accurately and on time following client record-keeping policies

Performance & Compliance

  • Follow annual performance plan and accomplish Key Performance Indicators per client Performance Agreement
  • Ensure compliance with JLL and client audit standards
  • Implement and maintain JLL and client safety programs
  • Share innovations and best practices with JLL Facilities Management teams
  • Maintain knowledge of standard business accounting practices and real estate operations

Required Skills and Qualifications
  • 6+ yearsof facilities management experience in corporate environment, third-party service provider, or consulting capacity
  • Strong leadership and people management skills with proven ability to develop high-performing teams
  • Proficiency with Computerized Maintenance Management Systems (CMMS)
  • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word)
  • Strong interpersonal and communication skills with ability to present to diverse audiences
  • Excellent problem-solving abilities and analytical thinking
  • Proven record of delivering exceptional internal and external customer service
  • Demonstrated ability to develop successful relationships and influence stakeholders at all levels
  • Knowledge of standard business and accounting practices
  • Ability to manage competing priorities in fast-paced environment
  • Flexibility to work alternative schedules including weekends as needed to meet facility requirements

Preferred Skills and Qualifications
  • Experience managing both technical and administrative staff in multi-site environments
  • Knowledge of building systems (HVAC, electrical, plumbing, life safety)
  • Familiarity with real estate operations, telecommunications, and furniture management
  • Experience with budget development and financial forecasting
  • Professional certifications (CFM, FMP, or similar)
  • Background in supplier/vendor management program development
  • Experience with sustainability and energy management initiatives
  • Lean or Six Sigma process improvement training

Work Environment & Physical Requirements
  • Position requires flexibility to work weekends and alternative schedules as facility needs dictate
  • Daily site walks and facility inspections required
  • Office and facility environment with exposure to building systems and mechanical spaces
  • Ability to respond to emergency situations and after-hours facilities issues
