Position: Office & Operations Manager
On-site: Full-time, hourly (non-exempt)

Reports to: Head of Operations & Strategy
The role
We're looking for an Office & Operations Manager to be the operational backbone of our San Francisco office. You'll work directly with our leadership team, including the CEO, and you'll be the person they rely on to anticipate needs, handle time-sensitive requests calmly, and keep the company running smoothly. We've also just moved into a new space and are still finishing the build-out, so you'll have a real hand in shaping it: furniture, layout, and how the team uses it. Beyond the space, you'll host our monthly company onsites and run the processes behind a fast-growing company: spend, vendors, employee onboarding and recruiting logistics.
What you'll own
Leadership & company support
- Act as the point person for leadership on office, onsite and operational needs, including high-priority, last-minute requests
- Support leadership gatherings, visitors and in-office meetings, from logistics through follow-up
- Handle confidential information with discretion and professionalism
- Partner with Operations and Marketing on ad hoc projects as the company grows
Office build-out & design
- Lead the finish-out of our new space: source, order and coordinate delivery and installation of furniture and décor
- Shape the look and feel of the office so it reflects who we are, with spaces for focused work, collaboration and gathering
- Manage the build-out budget and timeline, and coordinate vendors, deliveries and building approvals
- Keep evolving the space as the team grows, so it's somewhere people want to be
Onsite's & company culture
- Plan and host our 2-3 day onsite's, when 25-30 teammates from across the country come together in SF
- Own the full experience: catering, happy hours, dietary needs, and setup, all within budget
- Help shape the in-office culture that makes people want to show up
Office & workplace
- Run day-to-day office operations: kitchen, supplies, mail, equipment
- Own our relationship with building management, including badge access, guest lists, gym access, repairs, deliveries and contractor approvals
Finance operations
- Manage the operations company card and own the monthly reconciliation and expense submission (receipt matching, GL coding, cost centers), on time and accurate
- Keep internal expense records clean and audit-ready
Vendor management
- Partner with our Infrastructure and Security team to manage vendor contracts, renewals and our vendor inventory
- Make sure every vendor has a signed contract and supporting agreements, and flag renewals before they hit
People operations
- Coordinate the physical side of onboarding and off-boarding: laptop shipping, badges and seating
- Schedule interviews and manage candidate logistics with HR, so candidates have a great first impression of rPotential
What you bring
- 2-5 years in office management, operations or administration, ideally in a startup or high-growth environment
- Experience working directly with senior leadership
- Experience managing a company card, expense reconciliation or vendor invoices
- Event or catering coordination experience
- Strong organization and follow-through: recurring deadlines don't slip on your watch
- Warmth and polish in how you deal with people, with good judgment and discretion
- Comfort with ambiguity and figuring things out
- Fluency with Google Workspace, Slack and Excel, and curiosity about AI tools (we use them heavily); Vanta, Jira or BambooHR are a plus

Work model
On-site in San Francisco. This role is the heart of our office and onsite employee experiences, so it needs consistent in-person presence.
The anticipated annual base salary range for this position is between $75k - $100k. Compensation varies based on a variety of factors including, but not limited to, experience, education, key skills, and geographic location.
Benefit offerings for full-time employment include medical, dental, vision, term life and AD&D insurance, short-term and long-term disability, additional voluntary benefits, commuter benefits, wellness plans, and a 401k plan or a non-qualified deferred compensation plan. Available paid leave includes Personal Time Off (PTO) on an accrual basis up to 152 hours a year, 10 Paid Holidays, 1 Community Service Day, and up to 6 weeks of Paid Parental Leave. PTO and holiday hours are prorated based on hire date within the calendar year.
