This role is based in Vancouver, Canada.NZTE operates a hybrid work environment. This role requires a regular (3-4 days per week) in-office presence to support the team, consular services, and the day-to-day operations of the Vancouver office.
What you'll be doingAs Office Manager and Consular Adviser, you will keep the Vancouver office running smoothly and support the Trade Commissioner and Consul General and wider Canada team. You will oversee day-to-day operations, including facilities, suppliers, health and safety, security, IT team support, and events and visits.
You will also manage the office's financial administration, including payroll, accounts payable, reconciliations, budgeting, reporting, expense management support, and audit requirements. You will work closely with external providers and NZTE's regional and New Zealand-based Finance and People teams to meet local obligations accurately and on time.
As Consular Adviser, you will support New Zealanders travelling or living in Canada, including in difficult or distressing circumstances. You will manage enquiries and cases confidentially, support emergency responses, and contribute to official visits, commemorations and New Zealand election activity in coordination with the Ministry of Foreign Affairs and Trade and other government partners.
What you'll need to be successfulYou'll have experience in office management, business operations or another varied role where people rely on you to keep things moving. We're looking for someone who brings:
- Confidence with finance: You're comfortable managing payroll, accounts payable, reconciliations, budgets, reporting and audit requirements. You're careful with the details and take deadlines seriously, but you also enjoy the wider scope of a role that is about much more than the numbers.
- Initiative and a feel for team culture: You spot what needs doing, take ownership and follow through. You enjoy bringing people together and helping create a great team environment, both in the Vancouver office and with colleagues working from Toronto & across the wider North American region. You're also curious about AI and keen to try practical ways it can make work easier.
- Good judgement and genuine care for people: You can be trusted with sensitive information and know how to handle situations thoughtfully. You bring empathy and compassion when supporting people in distress and stay calm and clear-headed when things are stressful.
- An easy, adaptable working style: You build strong relationships and are comfortable managing multiple stakeholders, competing priorities and work across locations and time zones. You know when to act independently, when to check in, and how to keep your leader appropriately informed.

The compensation package range for this role is CAD $95,000 - $105,000.
