ONA is seeking to fill the role of Member Experience & Events Project Manager on the Member Experience & Events Team at our Toronto office. This posting is for an existing vacancy. The Member Experience & Events Project Manager is responsible for the planning and execution of provincial, regional, internal, virtual, hybrid, and in-person meetings, conferences, and special events. The role ensures seamless event delivery, exceptional member experiences, operational excellence, and continuous process improvement through effective stakeholder engagement, project coordination, and logistical management.
This is what else you may expect from this role:
Lead the negotiation, interpretation, and approval of contracts related to accommodations, transportation, meeting space, food and beverage services, audiovisual production, and other event requirements as a backup for manager's support.
Plan and execute end-to-end in-person, virtual, and hybrid meetings, conferences, and special events for provincial, regional, and internal audiences.
Build and maintain strong relationships with internal stakeholders, external partners, suppliers, venues, and service providers to ensure successful event delivery.
Reconcile hotel master accounts and vendor invoices in collaboration with the Manager, Member Experience & Events, ensuring accuracy and compliance with budget requirements.
Serve as the designated backup to the Manager, Member Experience & Events, assuming responsibility for day-to-day event operations, stakeholder communications, vendor management, contract administration, and issue resolution during the Manager's absence.
Collaborate with internal teams to support strategic event objectives and organizational priorities.
Develop comprehensive event execution plans.
Prepare post-event evaluations and reports, analyze participant feedback, measure event outcomes, and provide recommendations to support continuous improvement and future planning.
Maintain accurate electronic records and event documentation within SharePoint and other designated systems.
Provide oversight of events to ensure established operational, member experience, and organizational requirements are met.
Identify workflow gaps and recommend innovative solutions to improve efficiency, consistency, and overall member experience.
Provide logistical and administrative support for meetings involving the Board of Directors, executive leadership, and senior management.
Proactively identify, assess, and mitigate risks related to event operations, safety, and member experience.
Support the resource, negotiation, interpretation, and implementation of contracts and service agreements related to event and program delivery, including transportation, attrition management, meeting and event spaces, accommodations, activities, and other vendor services, while working in collaboration with the Manager, Member Experience & Events.
Prepare briefing notes, status reports, presentations, and recommendations for senior leadership on event-related matters when required.
Accountable for the design and project management of Provincial, Regional and Negotiations meetings, such as Provincial Leadership Meeting (PLM), Provincial Coordinators Meetings (June & November), Biennial Convention, Board of Directors meetings, Leadership and Negotiations- related meetings, Regional ACC meetings to achieve outcomes identified by the Board of Directors and membership.

Experience with event registration systems, virtual event platforms (EventMobi, Cvent, Zoom) mobile event applications, SharePoint and Microsoft 365, applications are considered an asset.
Ability to exercise discretion, professionalism, and confidentiality when handling sensitive information.
