Full Job Description
The Role
We are looking for a high-judgment, process-driven Financial Operations Manager to lead our Money Movement and Payroll Settlement team. In this role, you will own the engine of our business: ensuring funds are debited from client accounts accurately and delivered into the bank accounts of thousands of workers seamlessly and on time.
You will manage a daily operational team, oversee multi-million-dollar banking and ACH transmission workflows, lead exception handling (returns, reversals, NSF, and disputes), and partner directly with Risk Operations and banking partners to scale our treasury and clearing infrastructure.
What You'll Do
Lead, mentor, and scale a team of Financial Operations Specialists responsible for day-to-day payroll funding, direct deposit transmission, and exception processing.
Oversee end-to-end clearing timelines across multiple banking rails (Same-Day ACH, Standard ACH, Wire, RTP, and FedNow).
Ensure critical cut-off deadlines (Federal Reserve / ODFI / RDFI windows) are met with zero tolerance for delayed worker payroll disbursements.
Monitor real-time account balances, debit settlements, credit batches, and intraday clearing files (NACHA, ISO 20022, proprietary bank APIs).
Own the operational resolution of ACH returns (e.g., R01 NSF, R08 stop payment, R03 unauthorized account), credit reversals, trace requests, and payroll adjustments.
Implement proactive fraud, exposure, and NSF-monitoring protocols to mitigate credit risk between debit settlement and credit disbursement.
Serve as the senior point of escalation for high-value funding failures, off-cycle emergency payroll runs, and banking transmission disruptions.
Maintain daily three-way reconciliation across client payroll records, internal ledger balances, and bank statements.
Partner with Corporate Accounting and Treasury to track settlement float, collateral accounts, and clearing reserves.
Design and enforce strict operational controls (Maker-Checker protocols, dual authorization, and change-log auditing) in compliance with SOX, SOC 1/SOC 2, and NACHA rules.
Partner closely with Product and Core Platform Engineering to translate manual financial workflows into automated software tools.
Drive root-cause analyses on recurring transaction failures, latency issues, or bank API errors to continuously improve straight-through processing (STP) rates.
Maintain relationships with tier-1 partner banks and payment processors to optimize cut-off windows, fee structures, and clearing speeds.
Perform other related duties as assigned.
What You Bring
5+ years of experience in financial operations, treasury operations, payment operations, or payroll operations, with at least 2+ years managing high-performing operational teams.
Deep familiarity with domestic money movement networks-specifically NACHA rules, ACH clearing cycles, return codes/reasoning, wire networks, and modern real-time rails.
Prior experience at a payroll service provider, payroll software/PEO, merchant processor, or B2B embedded fintech platform.
Demonstrated track record of managing high-volume, time-sensitive operational queues with strict SLAs.
Strong technical understanding of ledger accounting, bank statement reconciliation, and settlement timing differences.
Professional certifications such as Accredited ACH Professional (AAP), Certified Treasury Professional (CTP), or Fundamental Payroll Certification (FPC).
Experience working directly with bank APIs, SFTP batching, or modern ledgering engines.
Working proficiency building operational dashboards and investigating transaction anomalies.
Capable of making decisive, level-headed decisions during high-stakes banking outages or settlement delays.
A coach who sets clear operational metrics (SLAs, error rates, resolution times) while fostering growth and accountability in team members.
Bachelor's degree in Accounting, Finance, Business, or equivalent experience.
Exceptional attention to detail, strong problem-solving capabilities, and clear written/verbal communication skills.
Team-oriented, resilient, proactive and solutions-focused.
Customer-service mindset: clear communication, patience, and professionalism when working with stakeholders.
Ability to manage multiple requests and prioritize effectively.
Must be highly organized, dependable and self-disciplined with a strong work ethic.
Solid analytical skills, ability to learn at a fast pace.
