Job DescriptionResponsible for managing the operational and financial activities within the dental department in collaboration with the department chairperson. This includes developing, implementing and managing annual capital/operating and personnel (FTE) budget. Uses resources effectively and manages expenses to meet financial goals of department. Works collaboratively with dentist attendings, residents, clinical departments, nursing, and others to ensure timely patient access to care, operational efficiency, department productivity, fiscal integrity, and patient satisfaction.

- Monitors and improves patient satisfaction developing and utilizing available service metrics and national benchmarks to develop and implement action plans to achieve desired outcomes in patient engagement goals.
- Models and fosters an environment of professionalism and employee engagement in the department. Responsible for recruitment, retention, and employee engagement. Responsible for creating an effective and positive department culture which ensures an engaged workforce.
- Ensures the requirements for Compliance and Mandatory/Required Elements for staff (Immunizations, Conflict of Interest, licensure, Continuing Education and safety training) are met and kept up to date.
- Responsible for unit or department performance and compliance with patient safety initiatives, federal, state and other regulatory bodies such as Joint Commission, OSHA, CMS, DOPL, and other department specific accrediting and certifying bodies. Ensures that new skill training and ongoing competency verification is completed annually. Evaluates staff competency through use of performance reviews.
- Mentors staff and provides professional educational opportunities. Utilizes participative management models. Promotes shared decision-making and professional autonomy by providing department input into executive-level decisions, and by keeping staff informed of executive level activities.
- Manages department work and vacation schedules to ensure department's staffing needs are met. Ensures sufficient staffing levels to meet care and/or service needs, which include hiring, orientation, and managing staffing to a changing census.
- Supports staff and resident participation in outside community organizations such as volunteer health clinics, health fairs and advisory boards for not-for-profit organizations.
- In collaboration with Program director, manages resident applicant relations, interview scheduling, selection activities, and onboarding processes, facilitating a seamless transition into the one-year General Practice Residency program.
- Bi-weekly audit of patient charts to ensure compliance with regulatory requirements for record keeping.
- Contributes to the strategic planning process, day-to-day operations, standards of care or service, and attainment of organizational goals. Advocates for and allocates available resources to promote efficient, effective, safe and compassionate care or service based on current best practice standards.
- Processes credentialing, expense tracking, coordination of the GME program recruitment and selection process, and coordination of reporting requirements for various agencies and general clerical support. Helps oversee General Practice residency program specific tasks ensuring compliance to fulfill rules and regulations specific to the GME training program and CODA. Aids in the orientation of new residents/employees. Works directly with the program director to complete resident evaluations and general support.
- Partners with dentists at the department level to achieve clinical, operational, and service goals as appropriate. Completes the call and clinic work schedules for department attendings
Supports the department chair by aiding in: - Organizing and scheduling meetings and appointments
- Producing and distributing correspondence
- Assisting in the preparation for meetings including agenda, minutes, reminders, food, etc.
- Developing, organizing and maintaining files
- Booking travel arrangements
- Submitting and reconciling expense reports
- Providing general support to visitors
- Aiding in creating presentations and generating reports
- Other duties as assigned
QualificationsEducation/Experience- Dental office experience preferred
- Bachelor's degree in healthcare management or related field required. Education must be obtained from an accredited institution.
- Master's degree in business, healthcare, finance, or accounting preferred.
