Job Description:The incumbent will supervise the Academic Affairs Research Grant Administrators and manage high volume and complex grant management support. The position is also responsible for providing research grant and contract management support by working with researchers, collaborating institutions and administrative staff to ensure grant award activities are successfully executed. The incumbent will provide financial management of grant funds including tracking expenditures and account balances, completing personnel forms, assisting with travel and purchasing, and interfacing with Research Foundation (RF) support offices, such as the Office of Equipment management. The incumbent will also provide training to faculty, staff, and students engaged in research.
Primary Responsibilities:- Provide strategic supervision, training, and operational coordination for the Academic Affairs (AA) Research Grant Administrators, ensuring consistency and compliance across departments.
- Conduct formal and timely performance evaluations for each AA Research Grant Administrator, incorporating feedback from host departments and faculty PIs; set goals aligned with departmental needs and institutional priorities.
- Oversee and monitor workload distribution for the AA Research Grant Administrators, taking into account fluctuating project demands, department-specific needs, and staff capacity.
- Monitor the quality of service delivery across departments, ensuring consistent and high-quality post-award support to faculty and staff, with attention to accuracy, efficiency, compliance, and responsiveness.
- Coordinate and approve staff time off and vacation schedules in a way that ensures continuous support across all participating departments and mitigates service gaps during peak workload periods.
- Serve as the primary liaison to the RF support offices at UAlbany.
- Serve on university-wide committees as needed, bringing forward operational issues, resource needs, and recommendations related to post-award grant administration and research support services.
- Support PIs with post-award grant management and serve as a liaison with RF support offices at UAlbany.
- Monitor account expenditures for accuracy, ensuring compliance with budgetary guidelines and project objectives using the Research Foundation Reports Center.
- Collaborate with Principal Investigators (PIs) to establish and oversee an efficient system for monitoring grant expenditures and account balances.
- Coordinate with PIs to establish and manage a streamlined process for personnel transactions related to external sponsorships and contracts.
- Provide procurement support for grants and contracts.
- Prepare necessary student tuition forms.
- Prepare and monitor paperwork for travel advances and reimbursements.
- Interface with RF to ensure compliance with Foundation, Federal, State, and University regulations
- Provide post-award grant management training to faculty, staff, and students engaged in research.
- Develop and maintain resource documents to guide faculty and staff on Research Foundation processes and forms.
- Work collaboratively with pre-award staff as needed
- Assist with the preparation and submission of internal and external programmatic reports required by the sponsor.
- Other reasonable duties as assigned

- The incumbent will supervise several Academic Affairs Research Grant Administrator positions.
Job Requirements:- Excellent written and verbal communication skills.

Requirements:Minimum Qualifications:- Bachelor's degree from a college or university accredited by the U.S. Department of Education or an internationally recognized accrediting organization.
- A minimum of 4 years of administrative experience that may include office management, program administration, or operations.
- A minimum of 2 years of supervisory experience.
- Some experience working with budgets.
Preferred Qualifications:- Master's degree from a college or university accredited by the U.S. Department of Education or an internationally recognized accrediting organization.
- Experience interpreting and applying policies at multiple levels of authority (federal, state, and institutional).
- 5+ years of experience in research administration.
- Experience with budget management.
Working Environment:- For participation in the University's workplace flexibility program, which allows for a hybrid work arrangement of up to 50% remote work. Approval of any hybrid work arrangement is subject to operational needs, position responsibilities, and satisfactory job performance, and remains at the sole discretion of management.
