Job Description

Reporting to the Senior Manager, HRIS, the HR Systems Analyst, Workday (HCM, Recruitment & Learning) will be responsible for configuring, enhancing and optimizing Workday Core HCM, Recruitment and Learning modules. This role will partner various stakeholders to deliver scalable solutions, support business objectives, improve employee experience and drive continuous improvement across Extendicare's HR technology landscape. This role will work closely with senior business leaders, cross-functional managers, executive leadership and field operations teams, requiring exceptional collaboration and facilitation skills.

This position will be based at our Head Office in Markham, Ontario. Extendicare offers a hybrid working environment.

Key responsibilities include:
  • Configure, maintain and enhance Workday Core HCM, Recruitment and Learning modules, ensuring alignment with business requirements, collective agreements and organizational strategy.
  • Act as a key member of the HRIS team by identifying opportunities for system enhancement, simplification and automation, and implementing configuration changes that improve HR and business operations.
  • Collaborate with HR, IT, Finance and other business stakeholders to review employee transaction processes, address business challenges and deliver scalable Workday solutions.
  • Conduct impact assessments on system changes and evaluate downstream impacts to business processes, reports, security, integrations and other Workday modules.
  • Translate business requirements into technical solutions and partner with functional leads and stakeholders on Workday enhancement and development projects.
  • Support Workday releases, upgrades and enhancement initiatives through configuration, testing, validation, performance analysis and the evaluation of new functionality and system capabilities.
  • Prepare and maintain technical specifications, test scripts, test results, training materials, process documentation, change requests and knowledge-transfer materials; participate in Change Advisory Board (CAB) activities as required.
  • Respond to escalated ServiceNow tickets, troubleshoot system and interface issues, and translate identified misconfigurations into documented remediation plans, configuration corrections and impact assessments.
  • Monitor data integrity across Workday and downstream systems through audits, analysis and proactive issue resolution, while identifying trends and opportunities to improve overall system effectiveness.
  • Maintain expertise in Workday through continuous learning, participation in Workday Community and user groups, and ongoing evaluation of existing systems and processes to enhance the employee self-service experience and drive continuous improvement.
  • Complete other duties as assigned.


What we're looking for:
  • Bachelor's degree in Business Information Systems, Human Resources or a related field.
  • Minimum 5 years of HRIS experience supporting Workday Core HCM, Recruitment and Learning modules.
  • Experience configuring, implementing and enhancing Workday solutions in complex, high-volume environments, preferably within a unionized organization.
  • Advanced Excel skills with experience working with large datasets and advanced formulas.
  • Strong experience troubleshooting end-user issues, system interfaces and HRIS-related challenges.
  • Excellent research, analytical and problem-solving skills.
  • High level of confidentiality, professionalism and diplomacy.
  • Strong customer service orientation and ability to collaborate effectively across teams and stakeholder groups.
  • Exceptional time management, project planning, organizational, verbal and written communication skills.
  • Workday certification is considered an asset.
