COMPENSATION

Pay Rate: $100,000.00-$115,000.00

This represents the good faith estimate of the wage range we reasonably expect to pay for this position upon hire, depending on factors such as the selected candidate's experience, training, education, job-related skills, internal equity, and operational needs.

In select cases, and depending on market conditions or exceptional candidate qualifications, compensation may exceed this range, provided it aligns with applicable law and our compensation policies.

SUMMARY

Performs a wide variety of skilled maintenance, inspection, repair, and facilities coordination work for residential housing properties managed by Aztec Shops. This position serves as the primary facilities liaison for residential properties and coordinates maintenance and repair projects involving vendors, contractors, property management teams, and internal stakeholders.

In addition to facilities maintenance responsibilities, this role manages facilities projects, vendor coordination, and residential maintenance operations support across multiple residential properties. Responsibilities include conducting property inspections, coordinating preventative maintenance activities, tracking project progress and documentation, supporting operational planning, and ensuring safe, functional, and well-maintained residential facilities.

This position works collaboratively with property management on-site facilities directors, managers, contractors, vendors, residents, and university personnel to support residential operations and resident satisfaction. This role will supervise facilities personnel within the Aztec Shops Real Estate & Business Development division. This role reports directly to the Associate Director, Residential Property Management and coordinates, communicates, collaborates with and may take project, repair and maintenance direction from the Associate Director, Capital Improvement Projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Residential Facilities Operations

• Coordinates maintenance and repair activities across multiple residential housing properties.
• Conducts routine inspections of residential units, common areas, building systems, grounds, and support spaces to identify maintenance, operational, and safety concerns.
• Assists in the development and implementation of preventative maintenance programs for residential facilities and building systems using our software program.
• Supports unit turnover inspections and readiness coordination to ensure units are prepared for occupancy.
• Responds to residential maintenance emergencies and operational issues impacting residents, property operations, or facility systems.
• Maintains accurate maintenance records, project documentation, inspection logs, and work order updates using our software systems.
• Serves in the Duty Rotation for Aztec Shops buildings master leased to the Office of Housing Administration (OHA).

Facilities Maintenance & Repair

• Provides skilled inspection & diagnosis of issues and directs contracted building management or outside contracted companies on maintenance, troubleshooting, and repair support for plumbing, HVAC, electrical, mechanical, carpentry, miscellaneous minor construction tasks, and building systems and may assist in performing such tasks.
• Coordinates and expedites emergency maintenance and repair work as required, ensuring timely response and resolution.

Vendor & Project Coordination

• Coordinates and oversees outside contractors and service vendors performing maintenance, repair, and improvement work.
• Obtains repair estimates, reviews scopes of work, and assists with contractor scheduling and project coordination.
• Tracks project schedules, completion timelines, and vendor performance to ensure quality and timely delivery of services.
• Communicates project updates, operational impacts, and repair timelines with property management teams and stakeholders.
• Assists with procurement activities including purchase requests, material acquisition, and invoice processing related to facilities operations in accordance with Aztec Shops policies and procedures.

Communication & Customer Service

• Serves as a facilities liaison with residential property management teams, on-site managers, vendors, and university personnel.
• Develops and maintains effective working relationships with customers, direct reports, coworkers, contractors, faculty, staff and students.
• Communicates maintenance issues, repair timelines, operational impacts, and project updates clearly and professionally. Provides technical guidance and operational coordination support to facilities staff and vendors as needed.

Compliance & Safety

• Supports compliance with Occupational Safety and Health Administration (OSHA), the Americans with Disability Act (ADA), fire and life safety, environmental, and university and Aztec Shops facilities standards.
• Assists in identifying and correcting hazardous conditions or operational risks within residential properties.
• Maintains safe work practices and ensures vendor compliance with established safety requirements.
• Must comply with and ensure continued, consistent compliance with all company policies, and federal, state, and local laws/regulations including but not limited to: employment, safety, and health.

Additional Responsibilities

• Responsible for participation in emergency response efforts and operational continuity efforts for residential housing facilities.
• Other duties as assigned.

Minimum Requirements

MINIMUM EDUCATION, TRAINING AND EXPERIENCE REQUIRED

The minimum qualifications for this position include at least four years of progressively responsible experience leading to journey-level proficiency in building maintenance and building systems repair, or an equivalent combination of training and experience that demonstrates journey-level skills as a maintenance mechanic.

Preferred qualifications include five or more years of experience in facilities maintenance.

Thorough knowledge of the methods, materials, tools, and equipment used in the maintenance, repair, and operation of building systems is required, including plumbing, heating, electrical, mechanical, water, and HVAC systems, as well as related installed equipment.

Additional experience or specialized skills in one or more of the following trades is highly preferred: plumbing, HVAC, electrical, carpentry, metalworking, tile setting, painting and wall finishes, drywall, and automotive or small engine repair.

Possession of a valid EPA Section 608 Certification for the purchase and handling of refrigerants is preferred, but not required.

Must have the ability to read, interpret, and work from building plans, blueprints, schematics, and technical specifications.

This position may involve operating a company vehicle and/or golf cart on university or company property. As such, candidates must have a valid driver's license and have not been issued more than three moving violations or have been responsible for more than three accidents (or any combination of more than three thereof during the past 12-month period). Applicants must be at least 18 years of age and will be required to provide proof of driving eligibility upon hire.

MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

LANGUAGE SKILLS

Must be able to read, write, speak, and understand English. Requires the ability to read, interpret, and work from plans, drawings, blueprints, specifications, and technical documents.

Must be able to follow verbal and written instructions, policies, procedures, and established guidelines.

Requires the ability to read, comprehend, analyze, and interpret business correspondence, governmental regulations, technical manuals, trade publications, and other related materials. Must be able to prepare reports and communicate effectively with employees, vendors, contractors, and customers through verbal, written, and electronic means.

MATHEMATICAL SKILLS

Requires the ability to perform entry level to intermediate mathematical calculations related to facilities maintenance and building systems, including calculations involving power consumption, electrical load, amperage, voltage, and related measurements.

REASONING ABILITY

Requires the ability to interpret and apply written and verbal instructions, policies, procedures, and technical information. Must be able to effectively manage multiple assignments, prioritize work, and maintain attention to detail. Requires strong analytical, troubleshooting, quantitative, and organizational skills.

MANUAL DEXTERITY

Requires sufficient manual dexterity to operate a computer and standard office equipment, as well as hand tools, power tools, testing equipment, and other materials and equipment commonly used in facilities maintenance, repair, and building systems operations.

PHYSICAL COMMUNICATION

Must have the ability to effectively communicate through speaking and hearing to exchange information, provide instructions, and interact with employees, vendors, customers, and other stakeholders. Requires sufficient hearing ability to perceive and respond to audible signals, alarms, warning devices, and emergency communications.

PHYSICAL DEMANDS

Physical demand requirements are consistent with active work. The position requires frequent standing, walking, bending, stooping, reaching, climbing, and movement throughout facilities and work areas.

Must be able to lift, carry, move, and position tools, equipment, machinery components, materials, and supplies weighing up to 50 pounds. Requires the ability to handle, grasp, feel, and manipulate tools, equipment, building materials, and repair materials necessary to perform maintenance and repair work.

Specific visual abilities required include close vision, distance vision, peripheral vision, depth perception, and color vision. These abilities are necessary to read and interpret work orders, plans, instruction manuals, equipment data plates, gauges, meters, and color-coded electrical wiring and components commonly found in building systems and electrical installations.

WORKING CONDITIONS AND HAZARDS

Work is regularly performed in a variety of facilities and maintenance environments, including confined spaces such as tunnels, mechanical rooms, utility closets, shafts, and trenches. The position may involve exposure to dimly lit conditions, wet and humid environments, fumes, airborne particles, dust, allergens, and varying indoor and outdoor temperatures and weather conditions.

There is occasional exposure to hazardous materials, including toxic or caustic chemicals and gases, as well as loud noise, moving mechanical equipment, bright or flashing lights, and other conditions commonly associated with facilities maintenance and repair operations.

This position requires regular on-site presence to perform the essential functions of the job. Due to the nature of the work and operational requirements, remote work is not available for this position.

The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act pursuant to California Penal Code Section 11166.5.

Candidates must be available to work a flexible schedule based on operational needs. This may include opening, mid-day, and closing shifts, as well as night shifts, weekends, and holidays throughout the year.
