Full Job Description
Department: Accounting & Finance

Reports to: Chief Accounting and Administrative Officer

Location: Chicago, IL

This role will be performed onsite in the Chicago office.

ABOUT THE ROLE

The Financial Systems Administrator will own the administration, connectivity, and continuous improvement of AJCP's accounting and finance technology stack. This is not a pure IT role - we are looking for someone who understands how accounting processes work, how financial data flows through systems, and how to configure and optimize those systems to support a complex, multi-entity real estate investment environment.

This role will report directly to the Chief Accounting and Administrative Officer and will work cross-functionally with Accounting, Finance, Capital Markets, and Investments to ensure systems are aligned with the firm's reporting and operational needs.

WHAT YOU WILL DO

System Administration & Access Management
  • Serve as AJCP's primary point of contact for provisioning and deprovisioning user access across all accounting and finance platforms
  • Own system configurations, role-based permissions, and security settings across the firm's core financial tools
  • Maintain an accurate inventory of system licenses, user access, and active integrations across the portfolio

Integrations and Connectivity
  • Ensure reliable API connections and data feeds between financial systems, including property management platforms, GL/ERP, banking, and investor reporting tools
  • Troubleshoot integration failures and coordinate resolution with vendors and internal stakeholders
  • Document and maintain data mapping and flow across systems to ensure accuracy and integrity
  • Apply integration best practices across a mixed environment of native connectors, file-based (CSV) feeds, and SFTP transfers - recognizing that not every system in the stack is API-native, and designing accordingly
  • Bring forward-looking judgment on where AI and automation can reduce manual touchpoints in the accounting/finance tech stack (e.g., invoice coding, reconciliation, reporting assembly), and proactively surface opportunities

Reporting & Data
  • Build, maintain, and distribute financial and operational reports supporting accounting close, fund reporting, and lender compliance
  • Partner with accounting and finance team members to understand reporting requirements and translate them into system configurations or data outputs
  • Support development of dashboards and management reporting tools that surface actionable data across the portfolio

System Implementations & Conversions
  • Serve as the accounting team's internal champion for system implementations, platform migrations, and upgrades
  • Lead UAT coordination, data migration planning, and cutover execution for system projects
  • Act as the primary liaison between accounting/finance stakeholders and external implementation partners or vendors
  • Develop and maintain process documentation and training materials to support successful system adoption

Ongoing Support & Process Improvement
  • Provide day-to-day technical support to accounting and finance team members across the firm
  • Monitor system performance, identify gaps or inefficiencies, and proactively recommend improvements
  • Ensure systems are configured to support internal controls and maintain appropriate audit trails
  • Participate in month-end and quarter-end close processes as a systems and data resource

Requirements

WHO YOU ARE

AJCP is seeking a highly-motivated individual who enjoys working in a fast-paced, but disciplined, entrepreneurial environment. The ideal candidate understands that systems are only as good as the processes behind them, and takes pride in building both. This role also requires the following capabilities:
  • A systems thinker who understands accounting and finance processes from the inside - you know what happens at month-end, why reconciliations matter, and how data quality affects decision-making
  • A self-starter who owns issues end-to-end and doesn't let access gaps, integration failures, or reporting problems linger
  • A clear communicator who can translate between accounting users and technology vendors without losing either audience
  • Intellectually curious and eager to stay current - including a working familiarity with AI tools and an openness to applying them within accounting and finance workflows
  • Detail-oriented and highly organized, with the ability to manage multiple workstreams simultaneously across a complex, multi-entity portfolio
  • Comfortable working cross-functionally with Accounting, Finance, Capital Markets, and Investments team

YOUR QUALIFICATIONS

Required
  • 8+ years of experience in a financial systems, accounting technology, or systems administration role, preferably within real estate, private equity, or financial services
  • Bachelor's degree in Accounting, Finance, Information Systems, or related field
  • Solid understanding of accounting fundamentals and financial reporting processes; this role requires genuine accounting literacy, not just technical familiarity
  • Demonstrated experience supporting or leading multiple system implementations, migrations or major upgrades
  • Hands-on NetSuite experience (administration, configuration, accounting use)
  • Hands-on Yardi experience
  • Demonstrated experience managing user access, permissions, and system configurations within financial software
  • Working knowledge of APIs, data integrations, or query/scripting tools (SQL, Excel, Power Query, or similar) to extract and transform financial data
  • Strong written and verbal communication skills with the ability to manage across diverse stakeholders

Preferred
  • Direct experience on a NetSuite implementation - strongly preferred
  • Experience in a real estate investment management or property management environment
  • Familiarity with Opportunity Zone structures, fund-level accounting, or multi-entity real estate portfolios
  • Exposure to investor reporting, lender compliance reporting, or management company accounting
  • Experience applying or evaluating AI tools in an accounting or finance context
  • CPA, CMA, or relevant technology certifications
