Full Job Description
Reports to: PRMAA Board of Directors, through the Board President, for the administration of PRMAA's benefit programs, records, and business affairs.

Employed by: The Archdiocese of Chicago, Archdiocesan Pastoral Center, with employment matters handled through Archdiocesan Human Resources, per Section 1.2 of the Administrative Services Agreement effective July 1, 2025. The position is a loaned employee to PRMAA: the incumbent remains an employee of the Archdiocese of Chicago while performing services for PRMAA, a separate corporation and separate juridic entity, under the direction of the PRMAA Board of Directors.

Direct Subordinates: Administrative Assistant(s), employed by the Archdiocese of Chicago and assigned to PRMAA.

Job Summary: Administers the health, retirement, and other applicable benefit programs available to Archdiocesan clergy who are members (Members) of the Priests Retirement and Mutual Aid Association (PRMAA). Ensures the directives of the PRMAA Board of Directors are implemented for the benefit programs of the PRMAA and the Archdiocese and coordinates all aspects of the benefit programs for Members. Serves as primary contact for the Members in understanding their benefits and assists, resolves, and/or directs Members to various Archdiocesan offices to address any retirement or other applicable benefits issues. PRMAA and the Archdiocese of Chicago are separate corporations and separate juridic entities that share responsibility for the well-being of the priests of the Archdiocese; this position is the point through which that shared work is coordinated

Essential Functions:

  • Communicates the PRMAA benefit programs and their terms and conditions to the PRMAA member priests of the Archdiocese.
  • Serves as the single point of contact for Members on PRMAA benefits, and consults with, and is consulted by, the Archdiocesan Benefits team before any change affecting a PRMAA-funded benefit or the design of the priest plan, including any proposal to align the priest plan with the lay plan, is adopted or communicated to priests.
  • Communicates with, maintains, and enhances a cooperative working relationship with Archdiocesan offices including, but not limited to, the Human Resources Office, the Office of the Vicars for Priests, the Vicar for Senior Priests, the Priest Placement Board, Finance, Legal Affairs, and the Office of the Archbishop by written and verbal communication to ensure clergy benefit selections, decisions, and/or issues are promptly communicated, addressed, and implemented.
  • Gathers and provides data and makes recommendations, when requested, for benefit administration decisions as needed or requested by PRMAA.
  • Performs other administrative tasks necessary to carry out PRMAA directives, which include but are not limited to obtaining, scheduling, and paying for assistive nursing care support services for priests approved by PRMAA and obtaining or performing pension and nursing care benefit calculations, when directed.
  • Maintains and updates database of information on members of PRMAA (Archdiocesan clergy) including status, location, contact, and similar data with assistance from the Priest Placement Board and Vicars for Priests.
  • Gathers and provides or prepares accounting and statistical reports for and from consultants, vendors, or Archdiocesan offices related to priest assignments, investment performance, PRMAA assessments and expenditures, and annual audits. Summarizes reports as needed to create logical and helpful statistical reports on a scheduled basis or as requested by PRMAA Board or as needed for the proper administration of duties.
  • Responsible for communicating and collecting parish and priest assessments due to PRMAA and reporting of same to PRMAA Board and other Archdiocesan offices, with billing and collection processing performed by the Archdiocese under Exhibit A of the Administrative Services Agreement.
  • Oversees the annual PRMAA Special Collection for Priests by working with outside consultants and vendors to develop the marketing strategy and approving printed materials for distribution to parishes, by communicating with pastors to encourage participation by parishioners, by working with office staff to acknowledge gifts received.
  • Collaborates with the Vicar for Senior Priests and the Vicars for Priests by regular communication and by initiating necessary actions to ensure benefit issues arising are timely implemented and communicated
  • Works with individual priests in clarifying their responsibilities in regard to health coverage and claims by explaining how the plan is administered through a third party or Medicare, explaining the details of medical Explanation of Benefits (EOB) reports, contacting claims processors and/or providers to determine payments owed, and monitoring benefit payments to ensure all claims are paid accurately and timely.
  • Collaborates with the Director of Compensation and Benefits in the capacity as an agency director on priest benefit programs, attends meetings, and participates in Archdiocesan-sponsored events as needed or required.
  • Receives priest mutual aid special pleas, referrals, and requests for processing by PRMAA Board and by authorizing payment appropriate to the specific case in question as directed by the PRMAA Board.
  • Coordinates content and prepares materials for monthly meetings of the PRMAA Board.
  • Maintains correct and complete books and records for the PRMAA Board including, but not limited to, account records, board meeting minutes, and a list of the names and addresses of members entitled to vote at the principal office of PRMAA
  • Administers the Board election and appointment cycle under Article VII of the Bylaws, including the vicariate elections, the appointments made by the Archbishop, and the retired priest seats, and supports the member notice requirements for any proposed amendment of the Bylaws under Article XI.
  • Supports the Board in keeping a detailed accounting of all income and expenditures and in providing the annual audit required by Article VII, Section 2 of the Bylaws, coordinating with the auditor and with Archdiocesan Finance.
  • Coordinates the receipt, recording, and reporting to the PRMAA Board of estate gifts and bequests designated to PRMAA, within the signature and custody arrangements established by Board resolution and Exhibit A of the Administrative Services Agreement.
  • Encourages participation in the voluntary Defined Contribution 403(b) Retirement Savings Plan by verbally promoting its value and by written notices to non-participants.
  • Performs public relations functions in attending funerals and gatherings of Archdiocesan clergy by being present at these occasions and by being a resource as needed
  • Treats member health, financial, and personal information as confidential in accordance with Article II of the Administrative Services Agreement and applicable law, and promptly reports any suspected security incident to the Board President and to Archdiocesan Legal Affairs and Information Technology.
  • Manages day-to-day operations of PRMAA administrative office including work direction and development of assigned staff, maintenance of internal accounting controls, timely and accurate payment of PRMAA expenditures/obligations, and tracking of revenues and expenses, with employment, payroll, office space, and systems support provided by the Archdiocese under Section 1.2 and Exhibit B of the Administrative Services Agreement.
  • Exercises only the authority delegated by resolution of the PRMAA Board. Where the Administrative Services Agreement assigns a function to the Archdiocese, including banking, investing, actuarial valuation, external audit, vendor contracting, and signatory authority with respect to estate funds, coordinates, monitors, and reports rather than performs.
  • Other roles and responsibilities as defined by the Bylaws and MOU with the Archdiocese of Chicago.


Position is an exempt Full-time benefits eligible. Workdays will be Monday through Friday.

Qualifications and Skills

  • Education Required: College Degree: Bachelor of Arts or Bachelor of Science
  • Education Preferred: Masters Degree in Human Resources, Business, or Pastoral Ministry.
  • Experience Required: Minimum of 5 years of business administration office experience or equivalent combination of formal education and related work experience.
  • Experience Preferred: Five years of direct experience providing administrative support in human resources/benefits to priests within a Roman Catholic Diocese, or direct experience administering employee benefit or retirement plans
  • Skills Required: Basic supervision skills, good interpersonal relationship skills and discretion, sound decision making capabilities, working knowledge of not-for-profit fund accounting and financial statements, intermediate computer skills in Microsoft Suite (Word, Excel, PowerPoint, and Outlook) and accounting software; and other general office skills.
  • Skills Preferred: Knowledge and understanding of the hierarchy of the Roman Catholic Church, prior experience with and understanding of employee benefit, pension, and 403(b) plans, and familiarity with fiduciary and confidentiality obligations
  • Other Required: Valid driver's license, access to personal vehicle, and availability to work evenings and weekends.
