THE ROLE | HR&A is seeking to hire an Executive Assistant & Office Manager in our
Washington, DC office. This role provides day-to-day administrative and operational support to our DC&Dallas-based Partners, Stan, Aaron, Marilynn, and Joseph, and manages the day-to-day operations of the DC & Dallas office. Partner with DC leadership to keep the office and its operations running smoothly so partners can stay focused on serving clients and growing our impact.
RESPONSIBILITIES |
General Office Management & Operations
- Provide general office support, including reception area management; answering and directing calls; maintaining inventory of office supplies and restocking groceries; organizing staff events such as happy hours, holiday parties, and staff outings; ordering weekly office lunches; and retrieving incoming mail and packages.
- Manage office facilities, including maintaining current vendor relationships, scoping out new vendors as needed, ensuring all conference rooms are functional, and providing monthly Logitech updates on conference equipment.
- Ensure guests are added to the building access platform in advance of visits.
- Recognize staff birthdays with greetings and send cakes or treats to employees' homes.
- Act as liaison with IT for office workstations, conference rooms, and printers, and coordinate with outside vendors as necessary.
- Serve as the main point of contact for the building facility.
- Assist with onboarding and offboarding staff.
- Perform other related duties as assigned.
- Travel to other offices for oversight when needed.
Leadership Support
- Proactively manage calendars and logistics for Partners to ensure their time is managed effectively; build awareness of key relationships to facilitate effective time management.
- Scope and manage special projects for the Studio Lead, from organizing gatherings with leaders, philanthropy, and business, to managing conference and event appearances.
- Coordinate logistics for meetings and events, both virtual and in-person.
- Organize in-person coffee meetings, lunches, and dinners with clients and prospective clients.
- Book domestic and international travel, including train, flight, car rental, and hotel arrangements.
- Reconcile partner expenses.
- Maintain partner calendars.
- Add partner signatures to documentation upon approval.
- Schedule internal and external meetings.
- Follow up on action items from internal and external parties.
- Serve as backup support for other partners when needed.
- Facilitate communication with internal teams, clients, and external parties.
- Serve as a trusted point of contact.
Office Operations and Community Building
- Help coordinate office social and team-building activities, including finding catering and venues, sending invites, and tracking expenses.
- Support special projects and presentations as assigned.
- Schedule team meetings and provide logistical support (play music in intro, share deck, AI settings, etc.)
- Support onboarding of new team members in the office.
- Assist with planning office offsites, including logistics, hotels, catering, travel, and venues.
- Keep DC leadership informed of deadlines, open items, and priorities. Prepare office meeting agendas and manage follow-up actions.
- Join leadership and office meetings.
- Set office vibes and tone.
EXPERIENCE REQUIRED | Two to four years of work experience supporting senior executives or leadership, with office management experience preferred. An associate's or Bachelor's degree is preferred. Professional services (consulting) firm experience is preferred.

COMPENSATION | The salary range for this position is $75,000-$90,000 per year, plus the opportunity for a discretionary year-end bonus. Where an offer falls inside this pay range is dependent on experience. We offer competitive compensation packages, based on qualifications and experience.
