You will support two HR executives as a trusted partner who keeps priorities moving, creates clarity, and helps leaders and teams work at their best. Responsibilities
· Enable two HR executives to focus on their highest priorities by managing complex calendars, resolving conflicts, and making timely scheduling decisions based on business needs.
· Coordinate leadership meetings and forums across the enterprise, including agendas, pre-reads, logistics, technology, virtual Q&A, surveys, and follow-up communication.
· Develop clear, polished communications for leaders and their teams, including organizational announcements, team updates, presentations, and HR activity messages.
· Lead coordination for cross-team initiatives and recurring HR activities, including talent management, budget submissions, onboarding, and ad hoc leadership requests.
· Create workforce and employee insight reports, summarize key themes, and present information in a clear format that supports sound decisions.
· Build strong partnerships with administrative peers, Executive IT, Internal Communications, Travel and Aviation, Real Estate, and other internal teams to deliver seamless support.
· Plan leader travel, prepare and reconcile expenses, coordinate vendor payments and invoices, and serve as a delegate in Concur when needed.
· Maintain accurate department resources, including organization charts, distribution lists, equipment and supply requests, and space-planning information.
· Anticipate risks, solve problems early, and handle sensitive information with discretion, sound judgment, and care.
Required Qualifications
· Minimum of 7 years of progressively responsible experience in executive administration, senior-level administrative support, or project coordination.
· Demonstrated success managing complex executive calendars and coordinating meetings with multiple senior-level stakeholders.
· Advanced skills in Microsoft Word, Outlook, PowerPoint, and Excel, with experience using Microsoft Teams, Zoom, Webex, or similar meeting platforms.
· Excellent written and verbal communication skills, with the ability to create clear messages and high-quality presentation materials.
· Strong organization and prioritization skills, with the ability to work independently, manage competing demands, and remain effective under pressure.
· Proven ability to protect confidential information, use sound judgment, and build trusted relationships across a virtual or hybrid organization.
· Ability to troubleshoot routine technology issues and partner with technical support teams when needed.
Preferred Qualifications
· Experience supporting HR executives or working within a large, complex enterprise.
· Experience with workforce reporting, employee insights, talent processes, budget coordination, vendor payments, or department operations.
· Experience using Concur, SharePoint, Slido, or similar business tools.
· Demonstrated learning agility, resourcefulness, collaboration, and comfort navigating ambiguity.
This role is also anticipated to be eligible to participate in an annual bonus plan.
