The expected hourly range for this position is $30.00 - $51.00 depending upon experience.

WDF Inc., a Tutor Perini Company, is seeking a Document Coordinator to join our office in Mount Vernon, NY.

DESCRIPTION:

The Construction Document Coordinator is responsible for coordinating the flow of project documentation among project teams, clients, consultants, contractors, and subcontractors. This role serves as a central point of contact for document processing, ensuring timely communication, accurate documentation, and efficient project administration.

Responsibilities:

Project Documentation Coordination
  • Coordinate preparation, review, distribution, and filing of project documents.
  • Process RFIs, submittals, transmittals, change requests, and contract correspondence.
  • Monitor document routing to ensure timely reviews and approvals.
  • Maintain project tracking logs and status reports.


Administrative Support
  • Support Project Managers, Construction Managers, and field staff with document-related activities.
  • Prepare meeting agendas, minutes, and project reports.
  • Coordinate document submissions to clients and regulatory agencies.
  • Assist in maintaining project schedules and deliverables.


Communication Management
  • Serve as a liaison between clients, consultants, subcontractors, and project teams.
  • Ensure project correspondence is distributed appropriately.
  • Track action items and follow up with responsible parties.
  • Facilitate information sharing among project stakeholders.


Quality Control
  • Review documents for completeness, formatting, and compliance with project standards.
  • Verify required approvals and signatures are obtained.
  • Ensure consistency across project documentation packages.
  • Assist with project audits and quality management procedures.


Closeout Support
  • Coordinate collection of closeout documentation.
  • Assist with preparation of as-built drawings, warranties, O&M manuals, and turnover packages.
  • Ensure all project records are complete prior to project closeout.


Requirements:
  • Associate's or Bachelor's degree in Construction Management, Engineering Technology, Business Administration, or a related discipline preferred. High School Diploma required.
  • 2-5 years of experience in construction administration, project coordination, or document management.
  • Familiarity with commercial, heavy civil, transportation, utility, or infrastructure projects preferred.
  • Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience with Procore, SharePoint and Autodesk Construction Cloud required. P6, Oracle Unifier, or e-Builder preferred.
  • Strong document tracking and reporting capabilities.
  • Excellent organizational and multitasking skills.
  • Strong verbal and written communication abilities.
  • Detail-oriented and process-driven.
  • Ability to work effectively in a fast-paced construction environment.
  • Strong customer service and stakeholder management skills.
