Full Job Description
Description

We're looking for a Document Control Manager to own the controlled procedure library and training records that our quality management system runs on. Reporting to the Director of Operations, this role establishes and administers document control across cultivation, post-harvest, and quality operations, and builds the system that keeps procedures current, accessible, and verifiably trained.

The Document Control Manager will directly own the document control system and platform, the change control process, procedure authoring standards, and the training record system that evidences who is qualified to perform which procedure.

This is a builder role, and the foundation the rest of the quality system depends on - internal audit, corrective action, and certification all rest on controlled documents and current training records. The responsibilities below capture the core of this role, but as Glass House Brands grows quickly, your scope may evolve to match new opportunities and business needs.

Requirements
• Bachelor's degree, or equivalent experience in document control, quality systems, technical writing, or records management.
• 4+ years in document control, quality systems, or technical writing within a regulated production environment.
• Demonstrated experience administering a controlled document system, including version control, change control, and periodic review.
• Working knowledge of document and training record requirements under GACP, GMP, HACCP, ISO 9001, or an equivalent standard.
• Strong technical writing skills, with examples of procedures written for a production audience.
• Experience building or migrating a document control system, rather than only maintaining an established one, preferred.
• Experience with an eQMS or document management platform such as MasterControl, Veeva, Greenlight Guru, or an equivalent, a plus.
• Conversational Spanish a plus.
• Valid California driver's license and the ability to travel regularly between our Camarillo and Carpinteria sites.
• Ability to work in greenhouse and post-harvest environments, including heat, humidity, and extended periods of standing and walking, with required personal protective equipment.

Skills:
• Exceptional attention to detail and consistency across a large and growing document set.
• Able to write plainly for a production audience, including visual and translated formats.
• Systems thinking - able to design a document structure that still holds up at scale.
• Comfortable holding busy process owners to review dates and approval requirements.
• Practical technical skill with document management platforms, permissions, and reporting.
• Clear communication across shifts, sites, and languages.
• Strong organization and follow-through on a high volume of concurrent changes.

Personal Attributes:
• Meticulous without being rigid.
• Persistent in following up on commitments from people whose priority is production.
• Service-minded - treats the floor as the customer of the document system.
• High integrity around records, approvals, and evidence.
