Position Summary
We are seeking an experienced Contract Lifecycle Management Systems Administrator to own the day-to-day administration, optimization, and continuous improvement of our CLM environment and support our contracts team in Lake Forest. The ideal candidate will have significant hands-on experience administering enterprise CLM platforms, including workflow configuration, templates, clause libraries, permissions, integrations, reporting, data governance, and user support.
This role will partner with Legal, IT, Procurement, Sales, Finance, Operations, and other stakeholders to translate contracting requirements into scalable system solutions. Experience with Agiloft is strongly preferred, and paralegal experience is beneficial.
Key Responsibilities
- Administer and support the company’s contract lifecycle management platform, including user access, workflow configuration support, templates, clause libraries, metadata fields, approvals, reminders, and reporting.
- Serve as a day-to-day point of contact for CLM system questions, troubleshooting, user support, and process guidance for the contracts team and internal business stakeholders.
- Support contract intake, assignment, workflow routing, status tracking, and contract repository management to promote visibility, accountability, and timely execution.
- Maintain accurate contract data, records, templates, playbooks, and related documentation within the CLM system and other contract management tools.
- Partner with legal, IT, procurement, sales, finance, operations, and other stakeholders to identify process improvements, system enhancements, reporting needs, and training opportunities.
- Assist with CLM testing, implementation support, data cleanup, system upgrades, new feature rollouts, and enhancement projects.
- Develop and maintain user guides, job aids, training materials, and process documentation to support consistent use of contract management tools and processes.
- Generate reports, dashboards, and contract metrics to support workload management, compliance, cycle-time visibility, and leadership review.
- Provide contract administration and paralegal support as needed, including document preparation, basic contract review support, signature routing, filing, and special projects for the contracts team.
- Perform or assist in special projects as directed by the Deputy General Counsel, Commercial and Procurement, or other legal department leaders.
Requirements and Qualifications
We are seeking a confident, collaborative, and systems-minded professional who has at least five years of hands-on experience administering, configuring, implementing, or optimizing an enterprise contract lifecycle management platform, including workflows, templates, clause libraries, permissions, reporting, integrations, and repository management and brings strong attention to detail, excellent communication skills, and the ability to manage competing priorities with professionalism, accuracy, and discretion.
Required Qualifications

- Strong organizational skills, attention to detail, and ability to maintain accurate contract data and records.
- Ability to manage multiple requests, deadlines, system issues, and stakeholder needs in a fast-paced environment.
- Excellent written and oral communication skills, with the ability to explain system processes and contract workflows clearly to legal and business users.
- Comfort working cross-functionally with legal, IT, procurement, sales, finance, operations, and other internal stakeholders.
- Sound judgment, discretion, and ability to handle confidential information with professionalism.
- Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Ability to learn new technologies, document processes, train users, and support continuous improvement initiatives.
- Bachelor’s degree or equivalent relevant experience preferred.
Technical / Professional Skills
- Demonstrated success improving a CLM environment, such as increasing user adoption, reducing contract cycle time, improving data quality, automating approvals, enhancing reporting, consolidating repositories, or delivering a successful implementation or migration.
- Experience with the Agiloft CLM system is a strong plus.
- Comfortable using or learning AI-enabled contract management tools for workflow support, data quality, reporting, contract review support, and productivity enhancement.
- Strong working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Ability to translate business and legal process needs into practical system requirements, documentation, reports, and user guidance.
- Ability to synthesize contract process issues and communicate practical, business-oriented solutions.
Desired but Not Required
- Prior experience with Agiloft CLM administration, configuration support, reporting, or implementation projects.
- Paralegal experience or a paralegal certificate, particularly in a corporate legal department or contracts-focused environment.
- Experience supporting a manufacturing, consumer products, procurement, supply chain, or other operationally complex business.
- Experience creating training materials, user guides, process maps, or contract management documentation.
- CLM platform certification, system administrator certification, business systems analysis experience, or formal implementation methodology experience is preferred.

- Improving visibility into contract status, workload, approvals, reporting, and key contract data.
- Helping strengthen contract intake, workflow routing, repository management, and process documentation.
- Building trust with legal and business stakeholders by providing timely, accurate, and practical system and process support.
- Contributing to a modern, scalable, and business-friendly contracts function through continuous improvement, training, and disciplined contract management practices.
Compensation:
A reasonable estimate of the current range is $105-115,000 + bonus + benefits. The range displayed on each job posting reflects the minimum and maximum target salaries for the position across all US locations. Within the range, individual pay is determined by job-related skills, experience, and relevant education or training. At Novolex, it is not typical for an individual to be hired at the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case.
