Summary

The Chief of Staff to the Deputy Executive Director serves as a strategic partner and operational lead, supporting the coordination, execution, and alignment of organizational priorities across multiple programs and departments. This role places a strong focus on supporting key program areas, including the Adult Literacy Program and COMPASS and SONYC services at the Roy Wilkins site, while also providing support across additional SQPA programs as needed. The Chief of Staff will help ensure priorities are well-coordinated, effectively supported, and aligned with broader organizational goals. Designed to strengthen internal systems and improve communication across teams, this position ensures that initiatives led by the Deputy Executive Director are implemented efficiently and on schedule. The role plays a critical part in driving accountability, managing workflows, and supporting high-level decision making across the
organization.

Responsibilities
  • Work alongside the Deputy Executive Director by helping prioritize, plan, and move key initiatives forward.
  • Serve as a thought partner to the Deputy Executive Director on organizational priorities and initiatives
  • Support the planning and execution of short- and long-term strategic goals
  • Track progress on key projects and ensure timely follow-up across departments
  • Support alignment across SQPA programs, with a primary focus on strengthening coordination, communication, and overall support within the COMPASS/SONYC and Adult Literacy departments
  • Monitor program updates, performance metrics, and reporting timelines
  • Assist in preparing materials for site visits, audits, and external meetings
  • Develop and maintain trackers for organizational priorities, deliverables, and deadlines
  • Coordinate cross-functional projects and ensure tasks are completed efficiently
  • Follow up with Program Directors and leadership staff on outstanding items due to Deputy Executive Director.
  • Support the implementation of systems that improve workflow and accountability
  • Draft internal and external communications on behalf of the Deputy Executive Director, with guidance and feedback provided as needed
  • Prepare meeting agendas, talking points, and summaries in collaboration with the Deputy Executive Director to ensure alignment and clarity
  • Support coordination of leadership meetings, including preparation and follow-up
  • Assist with managing the Deputy Executive Director's priorities, calendar alignment, and meeting preparation

Clearance Requirements
  • Employment is contingent upon successful completion of all required clearances, including New York State Central Registry (SCR), Staff Exclusion List (SEL), and criminal background check.
  • Fingerprinting through the Department of Health must be completed prior to hire.
  • Staff must maintain clearance eligibility in compliance with DYCD and DOH regulations throughout employment.


Work Schedule
  • Full-time position, typically Monday through Friday, 9:00 AM to 5:00 PM
  • Flexibility is required to attend occasional evening meetings and weekend events based on program and
    organizational needs
