Full Job Description
Working in close partnership with the President & CEO, Vice President, and Executive Team, the Board Operations Liaison role serves as the primary liaison to the Foundation's Board of Trustees. The role operates with a high degree of autonomy and discretion, exercising independent judgment as a trusted partner to the President & CEO in stewarding board effectiveness and governance integrity in alignment with the Foundation's Mission, Vision, and North Star.
This role owns the end-to-end planning and execution of Board operations and logistics, making decisions regarding processes, timelines, and coordination to ensure effective governance and alignment with organizational priorities. The position directly advances the Foundation's mission by strengthening board engagement, cultivating strong relationships with trustees and leadership, managing highly sensitive information with integrity, and driving the effectiveness and consistency of the Foundation's governance systems and practices.

The pay range for this position In Western Washington varies between $78,800 - $118,200, and for Eastern Washington varies between $67,200 - $105,500. Washington Dental Service and its affiliates, including Arcora Foundation, Delta Dental of Washington, and TriForza intends to offer the selected candidate a base pay within this range, dependent on job-related, non-discriminatory factors such as experience.

Supports the President & CEO of Arcora Foundation
Exercises independent judgment in strategically managing the President & CEO's schedule, proactively arranging meetings and logistics around current priorities, planning preparation time around deadlines, and determines the appropriate participants and sequencing to align meetings with executive priorities and desired outcomes.
Assures that the President & CEO is well prepared for all meetings (coordinating pre-meeting briefings, assuring desired outcomes are understood, and providing any materials for those meetings in a timely manner).
Delivers high-level executive operations support requiring discretion, prioritization, and judgment across competing organizational demands, including travel planning and coordination, expense reporting, and proactive file management.
As a delegate for the President & CEO, review and approve invoices and expense reports that are within their approval workflow, monitor spending trends, and deliver clear, timely reports that provide the CEO with increased visibility into budget performance and organizational expenditures. This also includes ensuring timely payment of vendors/consultants for whom the President & CEO serve as the main point of contact.
Prepares and edits content for documents, presentations and correspondence.
Coordinates sensitive issues building trust with President & CEO, Vice President, staff, and external partners
Coordinates projects, speaking engagements and events, creating/improving processes where needed.
Partners closely with the executive support team to align on priorities and ensure the work of the President & CEO is carried out effectively and efficiently to further the mission of the organization.
Board Governance & Strategic Support
Serves as the primary liaison for the Foundation's Board of Trustees, ensuring effective governance aligned with the CEO's priorities and the Foundation's goals.
Provides strategic oversight and operational leadership in board operations support, including supporting and refining Board development processes, managing the completion of annual evaluations (Board's self-assessment and CEO evaluation), and proactively tracking board member terms.
Applies the Foundation's strategic objectives to the design and prioritization of board workflows, ensuring seamless alignment between board activities and executive leadership priorities.
Serves as the central coordinating authority for Executive Team operations, ensuring alignment, implementation, and follow-through across shared priorities.
Meeting Coordination & Administration
Plans, schedules, prepares/distributes materials (packets), manages logistics, and takes/transcribes minutes for the following:
An annual new trustee orientation
Three annual in-person Board meetings
Annual 2-day in-person Board retreat
Quarterly virtual committee meetings
Monthly check-in meetings with CEO and Board Chair
Additional ad-hoc meetings, as needed
Governance Documentation & Compliance
Holds functional accountability for the accuracy, completeness, and timely maintenance of governance and compliance processes and documentation to ensure legal requirements are met; this includes identifying, scoping, and leading governance-related process improvements to ensure successful practices are consistently applied.
Maintain and update governance records (bylaws, policies, Trustee documentation) to ensure compliance and successful practices.
Manages and organizes sensitive Foundation board documents and records. Archives and ensures secure access to sensitive board documents. (e.g. meeting notices, minutes, resolutions, board/committee rosters, and conflict-of-interest disclosures.)
Board Development & Recruitment
Support Trustee recruitment and onboarding through due diligence, maintaining recruitment matrices, and updating orientation materials.
Leads the design and implementation of annual Board orientation and development initiatives, ensuring alignment between governance priorities and organization- wide goals.
Budget & Expense Management
Oversees financial stewardship of Board-related expenses, includes forecasting, monitoring trends and escalation of risks or variances.
Coordinate Trustee travel arrangements and ensure timely, accurate expense reporting.

Seven to ten years of increasingly responsible experience operating as a trusted partner to senior executives
Three or more years of complex project management, including special events
Two or more years supporting board operations that includes board meeting management, stakeholder liaison, expense tracking while maintaining utmost confidentiality and strategic awareness
Strong attention to detail and commitment to quality control, ensuring accuracy, consistency, and high-quality work across tasks and deliverables
Exceptional verbal and written communication, including an ability to listen deeply and authentically
Strong relationship-building skills with board members, leadership and community members across multiple dimensions of diversity.
Proven ability to manage multiple projects and priorities in a fast-paced, team-based environment
Strong problem-solving and analytical skills, including the ability to listen, assess situations, identify causes, gather and process relevant information, and generate solutions or process improvements
Proficiency in Microsoft Office Suite, Boardvantage, Zoom, MS Teams, DocuSign, Adobe Acrobat, and CRM systems
Demonstrated ability to thrive in ambiguous situations and adapt to evolving priorities
