Position Overview

The Client Service, AVP serves as an advanced client service professional supporting advisor teams and clients through complex account operations, onboarding, and ongoing maintenance. This role requires expert-level technical knowledge, excellent client communication skills, and the ability to independently resolve complex issues while ensuring accuracy and timeliness across all custodial work. The Client Service, AVP takes full ownership of client relationships and serves as a subject matter expert for the team.

Key Responsibilities

Client Service & Operations
  • Own end-to-end account onboarding for complex clients, including preparation of Advisory Agreements and custodial account agreements
  • Manage custodial inquiries and account maintenance through resolution, including retirement coding reconciliations and complex account maintenance
  • Handle all asset movement requests with clients and at the custodial level from initiation to completion, including checks, wires, ACH, journals, and complex transactions
  • Process retirement account rollovers, reconciliation of transferred assets, and annuity rollovers through completion with independent judgment
  • Facilitate Separately Managed Accounts and subdocument processing, including client profile sheets and private investment subscription documents
  • Coordinate offboarding client notifications and manage returned mail/abandoned property accounts
  • Provide proactive communication with clients and advisor teams throughout all account-related matters, anticipating needs and delivering solutions
  • Assure accuracy and timeliness of all custodian work
  • Independently resolve complex client issues without escalation

Technical Expertise
  • Maintain expert-level technical knowledge in operational matters
  • Stay current with custodial bulletins, procedures, and industry developments
  • Understand and comply with all financial regulations
  • Maintain high diligence in client privacy and security
  • Demonstrate advanced expertise in the systems used by the company, such as CRM, custodian websites, and other relevant technological resources
  • Maintain required logs and supporting documentation for compliance-related purposes
  • Lead process optimization initiatives to improve operational efficiency

Team Collaboration
  • Lead client meetings within areas of expertise
  • Provide training and mentorship to Client Service Associates and Senior Client Service Associates
  • Provide additive support to Advisor Associates, Lead Advisors, and Service Advisors
  • Lead process improvement initiatives and develop best practices
  • Proactively document, develop and improve standard templates, policies, procedures, and materials
  • Champion adoption of new technology solutions
  • Contribute positively to office culture, morale, and team collaboration
  • Serve as subject matter expert for the team on complex operational matters

Qualifications
  • Bachelor's degree, or related experience, preferably in finance, economics, or related field
  • 5+ years of experience in financial services with proven quality control and process proficiency
  • Strong computer skills including proficiency with Microsoft Office Suite
  • Advanced expertise with CRM systems and custodial platforms required
  • Knowledge of RIA business model and service delivery
  • Excellent organizational and time management skills
  • Commitment to professional growth and leadership development

The base salary range for this position is $80,000 - $110,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
