Chapman University is required to provide a reasonable estimate of the compensation range for this position. Job Description Summary

The Assistant Director of Admission Operations/CRM assists the Director of Operations in developing and managing the Technolutions Slate system to support the Graduate and Undergraduate Admission counseling teams. Admission Operations creates and maintains applications, assists with the management of daily application processing, and overall maintenance of system functionality.

Responsibilities

Liaison with the Strategic Marketing and Communications team
  • Collaborate on the collection of leads in Slate related to marketing campaigns
  • Facilitate the sharing of data related to the evaluation process of campaigns to aid in decision making for department and marketing partners.

Create and maintain Slate applications and assist with management of integrated CAS applications
  • Coordinate with Admission staff to plan annual changes
  • Configure updates during Cycle Prep
  • Assist with managing the processing of applications during the admission cycle
  • Assist with managing set up of checklists and rules for application processing
  • Create and maintain documentation

Collaborate with Admission Communications and Admission Counseling teams
  • Update and maintain Application Status Page configuration for applicants, admits, and incoming students.
  • Explore new features and optimization opportunities through the use of Slate portals with various constituencies, including students, parents, counselors, etc.
  • Support functional users in developing queries, reports, and forms across the instance of Slate
  • Support system integrations with 3rd party software for lead generation and record updates

Serve as lead in set-up and management of the Reader Module in Slate.
  • Collaborate with admission staff to create and maintain the Reader review processes to maximize efficiency and maintain best practices as defined by Slate documentation
  • Create and maintain Reader Bin structure and associated system set-up rules
  • Create and maintain documentation
  • Audit and trouble shoot the processes throughout the admission cycle

Identify and recommend new functionality available in Slate which can be used to enhance new student enrollment
  • Research and share new features and opportunities for Slate that can improve the student experience and/or internal processes
  • Support implementation of new features with documentation, testing, and staff training


Required Qualifications
  • Bachelor's degree, or equivalent combination in education and experience.
  • A minimum of 2-3 years professional experience in an admissions office, preferably at a higher education institution.
  • Demonstrated knowledge of admissions and CRM systems including report writing and analysis
  • Minimum two years experience in the Technolutions Slate system and expertise in Slate Portals including these graphic design skills:
  • Working knowledge of HTML and CSS
  • Ability to create functional web portals utilizing industry best practices
  • Ability to maintain brand consistency and Marketing department guidelines within Slate portals
  • Advanced knowledge of industry-standard layout and design software (Adobe creative cloud/ Photoshop/Illustrator/InDesign)
  • Designing graphic content, illustrations, and infographics
  • Strong typography, color, visual communication, and layout skills
  • Familiarity with web design best practices (responsive design, grid layout, accessibility)
  • Ability to work effectively as a member of a team, but also be able to exercise initiative and work independently.
  • Strong analytical skills to evaluate data, assess alternatives, and make decisions and or recommendations.
  • Strong writing skills to prepare and proofread clear and concise, grammatically correct business correspondence and marketing materials.
  • Demonstrated effective written, oral, and interpersonal communication skills with the ability to interact effectively with all types of individuals at all societal levels.
  • Computer skills in the use of word processing, desktop publishing, spreadsheet, database, internet and electronic email, preferably Microsoft Office.
  • Ability to use standard office equipment including copier, fax and calculator.
  • Strong technical skills to learn and use enterprise and departmental tools and systems.
  • Strong organizational and prioritization skills.
  • Ability to use tact and diplomacy and maintain confidentiality.
  • Proven ability to exercise independent thinking and judgment to carry on duties in a timely manner.
  • Ability to positively represent academic programs and presentations and meetings. Working knowledge of higher education admission and enrollment policies and procedures.
  • Ability to provide training and explain technical processes to everyday users.
  • Ability to read, interpret and apply relevant policies and procedures.
