Full Job Description
The Workplace Experience Program Specialist owns employee events, programs, and experience initiatives end-to-end, from initial brief and stakeholder alignment through planning, production, and post-initiative review, and serves as the primary workplace experience partner to our senior leaders. This role is New York, USA-based.
The Specialist operates independently across a varied portfolio of concurrent work, managing vendors, cross-functional partners, and budgets. Success requires the ability to move fluidly between strategic advisory and hands-on delivery shaping the brief with a department head one day, managing a venue walkthrough the next.
Key Responsibilities
Event Planning & Delivery
Own assigned events from end-to-end, from brief through delivery and post-event wrap. The scope, scale, and complexity of what is owned increases with seniority, as does the degree of independent judgement expected at each stage.
• Own end-to-end delivery of employee events, programs, and experience initiatives across the US
• Build project plans, run-of-show documents, and risk plans for complex or large-scale events
• Manage vendor sourcing, negotiations, contracts, and on-site relationships
• Oversee full budget management: forecasting, reconciliation, and reporting
• Coordinate cross-functional support (facilities, IT, People team, etc.) to ensure seamless execution
• Ensure legal and compliance requirements are met across all event-related procurement
Stakeholder Partnership
• Serve as the primary workplace experience partner to department heads and People leadership in the US
• Lead stakeholder briefings and alignment sessions; translate business intent into experience design
• Advise on event strategy: help leadership determine the right format, investment level, and experience goals
• Manage expectations proactively; navigate competing priorities and tight timelines with clarity
Standards & Process
• Apply and uphold our event and experience execution standards; adapt frameworks for the US market context
• Contribute to the development and refinement of global event standards, playbooks, and the service catalog
• Introduce new event formats and experience approaches that raise the bar for employee programming
• Maintain accurate records: post-event documentation, budget actuals, attendance data, and learnings
Data & Continuous Improvement
• Own the US events measurement approach: collect, analyze, and report on experience quality and employee sentiment
• Produce post-event reports and strategic write-ups; link outcomes to broader employee experience goals
• Analyze trends across the US event portfolio to inform future program investment and priorities
Collaboration & Teamwork
• Work closely with the global Workplace Experience team to align the US event portfolio with broader workplace experience strategy
• Partner with the Experience Design team on integrated experiences where events connect to broader business outcomes
• Represent the Workplace Experience function in US-based cross-functional planning forums
What We're Looking For
Genuine passion for employee experience, the ability to operate independently across a varied and concurrent portfolio, and the credibility to partner with senior leaders on experience strategy.
• At least 4-6 years of experience, including ownership of large-scale events or employee experience programs
• Proven track record delivering events and programs from concept through completion- on time, on brand, and on budget
• Strategic thinker who can move between vision and execution without losing either
• Strong stakeholder manager: shapes briefs, manages expectations at leadership level, and advocates for the employee experience
• Comfortable developing playbooks, processes, and standards- both for their own work and as contributions to the broader global team
• Deep knowledge of event production: vendor markets, technical production, and logistics
• Self-directed and adaptable; comfortable owning the full delivery chain independently
