Full Job Description
You9ll run our NYC office end to end, plan the team events that make Siro feel like Siro, and be the operational right hand to our Director of Events on every conference and trade show we attend.
This is not a coordinator role. You9ll own budgets, vendors and outcomes, make calls without waiting for direction, and escalate only what truly needs a second opinion.
What you9ll own
1. How our NYC workplace operates and feels.
Visitors: the VIP end-to-end experience for every customer, candidate, and investor who walks through the door: welcome, room, food, and a lasting first impression.
Facilities: HVAC, cleaning, maintenance, security, building management, health, safety compliance. When something breaks, you own the fix and the follow-up with the building.
Space: seating plans, furniture, workstation installs, conference rooms and A/V, and space planning as the team grows.
Supplies and food: snacks, drinks, kitchen, and office supplies, managed to budget.
Atmosphere: decor, plants, seasonal and holiday decorations, and the small touches that make the office a place people want to be.
Vendors and budget: own the office budget and every office vendor contract, and renegotiate them
Systems: an office calendar, SOPs, and self-service guides so the office runs well even on the days you9re not around.
2. Planning & executing the moments that bring Siro together
Monthly socials and happy hours, our holiday parties, seasonal events, and milestone celebrations.
Company offsites: venue sourcing, group air and hotel blocks, F&B minimums, runs of show
New-hire welcome moments
Expense tracking against the socials and offsite budgets, reconciled with finance.
3. The logistics & operations for conferences
Booth and shipping: booth builds, freight, material handling, swag and collateral, and getting everything there and back on time.
Travel and hotels: flights, hotel room blocks and staffing logistics for the Siro team at each show.
Some: Vendors: source and negotiate with venues, caterers, AV, printers, exhibitor services and contractors.
Who you are
A critical thinker. You question the quote, the plan and the assumption. You can spot the clause that will cost us later, and decide what to escalate and what to just handle. You think in second and third order consequences, and understand when and how to build in optionality.
Hospitality at your core. You notice the cold conference room, the dietary restriction, and the visitor looking lost before anyone else does. Every guest and teammate should feel anticipated and taken care of.
Incredibly organized. You run multiple vendors, timelines, and budgets at once. Your trackers are current, your follow-ups go out before anyone asks, and nothing falls through the cracks.
A fierce negotiator. You9ve negotiated hotel blocks, F&B minimums, venue buyouts and vendor contracts, and you can name the dollars you saved. You ask for the discount, the waived fee and the better terms every time, and you walk away when the deal isn9t right.
What you9ll bring
4+ years in workplace or office management, event operations, or hospitality, ideally in a high-growth startup.
Hands-on experience with conference logistics: booth shipping, exhibitor services, room blocks and on-site execution.
A track record of owning budgets and vendor relationships end to end
Experience running a large-scale project such as an office buildout, move, or company offsite.
Warm, polished communication with executives, vendors, guests and teammates.
Comfort with AI tools and a habit of automating repeatable work.
NYC-based, in office 4-5 days/week
