Responsibilities

  • Administer assigned subcontracts and provide management updates on financial projections and issues.
  • Collaborate with subcontractors to set rates and resource lists.
  • Ensure transparency in subcontractor operations regarding rates and change requests.
  • Coordinate with staff on operational activities related to contracts and performance.
  • Lead information programs to clarify subcontract terms and conditions.
  • Monitor subcontractor compliance with requirements.
  • Verify and negotiate Change Request Forms with subcontractors.
  • Maintain records of change management and summarize reports.
  • Manage variation changes and handle delay issues in projects.
  • Ensure timely contractual correspondence and notices.
  • Conduct evaluations of subcontractor performance and maintain records.
  • Facilitate subcontractor meetings and document minutes and discussions for reference.
  • Review and validate subcontract invoices and address any discrepancies.
  • Oversee the closeout process to ensure all contract obligations are met.
  • Perform additional tasks as assigned by Commercial Management.

Full Job Description
What You Will Do:
  • Administer assigned subcontracts maintaining a continual review of progress and providing management with information regarding projected financial or difficulties.
  • Work with subcontractors to determine subcontract rates and resource list.
  • Ensure subcontractors operate on a transparency principle related to all rates and change requests.
  • Coordinate with designated staff on operational activities affecting contractual rights and obligations, subcontract performance, subcontract administration, and other major matters.
  • Administer information programs to ensure mutual understanding of subcontract terms and conditions.
  • Ensure subcontractors compliance with subcontract requirements.
  • Verification and negotiation of Change Request Forms and change issues with subcontractors.
  • Identification and implementation of record keeping validating potential change orders.
  • Keep record of change management/issue logs and provide summary reports.
  • Handle variation/rate changes and delay issues.
  • Ensure timely and accurate contractual correspondence and notices.
  • Conduct subcontractor performance evaluation per established procedure and maintain its record.
  • Maintaining excellent relationships with client, stakeholders, and subcontractors.
  • Arrange subcontractor kickoff meetings and review meetings and maintain meeting minutes.
  • Review and validate commercially subcontract invoices and progress bills and communicate issues with subcontractors.
  • Coordinate and manage the closeout process to ensure all contractual obligations are fulfilled.
  • Other duties that may be assigned by Commercial Management.

Experience You Will Bring:
  • Civil Engineering / Construction / Legal / Business Administration related post-secondary education, Supply Chain Management or an equivalent combination or relevant technical training and experience.
  • 3+ years of experience in contract administration and coordination; large scale infrastructure or rail transit project experience would be a strong asset.
  • Experience with cost reimbursable subcontracts and time and material subcontracts is strongly recommended.
  • Experience preparing and issuing subcontracting documentation is required.
  • Strong awareness of construction law and Construction Act.
  • Strong business acumen.
  • Effective communication and negotiation skills, both verbal and written.
  • Advanced knowledge in Microsoft Office products.
  • Ability to conduct business ethically and act with discretion when handling sensitive information.
  • Ability to work under pressure and multitask.
  • A dedicated team player with exceptional interpersonal skills.
  • Strong attention to detail.


Compensation: $70,000 - $100,000 annually. The listed salary range reflects potential base pay and considers factors such as experience, education, and training. Each candidate is evaluated individually and offers toward the higher end may be extended to those with exceptional qualifications.
