A leading global investment firm is seeking a polished, highly organized Senior Administrative Assistant to join its growing team. This is an excellent opportunity for an experienced administrative professional who enjoys working in a fast-paced financial services environment and supporting a collaborative team of senior investment professionals. The Senior Administrative Assistant will provide day-to-day support to two Senior Managing Directors, along with a broader team of Managing Directors, Vice Presidents, and Senior Associates. This person will play an important role in keeping the team organized, managing complex logistics, and ensuring the administrative function runs seamlessly.
- Compensation- $100-$115k + paid OT + bonus
- New York, NY | Hybrid - 4 Days in Office / 1 Day Remote
Responsibilities - Provide high-level administrative support to two Senior Managing Directors and a broader team of senior investment professionals
- Manage complex calendars, scheduling, and meeting coordination across multiple stakeholders and time zones
- Coordinate domestic and international travel, expense reporting, and meeting logistics
- Coordinate senior-level meetings, including scheduling, agendas, materials, attendee management, and follow-up
- Serve as a key liaison between the investment team and internal groups including Marketing, Talent Acquisition, Legal, Compliance, and other business functions
- Identify opportunities to improve processes and create more efficient, scalable administrative workflows
- Support recruiting and talent initiatives, including analyst and intern programs
- Assist with team events and special projects requiring strong attention to detail and execution
- Handle confidential information with discretion and professionalism
- Provide general administrative and organizational support as needed
Required Qualifications: - 3+ years of administrative or executive support experience; financial services experience strongly preferred
- Experience supporting multiple senior-level executives in a fast-paced environment
- Strong calendar management, travel coordination, expense reporting, and meeting planning skills
- Excellent proficiency with Microsoft Office, Outlook, Excel, PowerPoint, Teams, Adobe Acrobat, and Concur
- Exceptional organizational skills with the ability to prioritize and manage competing deadlines
- Professional, polished, and confident communication style
- Highly proactive and detail-oriented with strong judgment and discretion
- Ability to anticipate needs and operate independently while also being a strong team player
- Comfortable working with senior investment professionals and cross-functional internal teams
- Interest in leveraging AI and technology to improve efficiency and streamline administrative processes
- Bachelor's degree preferred, or equivalent professional experience
