Summary:

HII Mission Technologies is seeking a Senior Proposal Coordinator to join the Division Proposal Operations team. This is an experienced professional who leads coordination, scheduling, and logistical support, while also taking primary responsibility for desktop publishing and production activities for large, complex proposals. Working with minimal supervision, the individual is responsible for preparing deliverables that meet production quality standards, comply with solicitation requirements, align with HII's corporate branding standards, and are submitted on time. This position will be based out of our Fairfax, VA office.

What You Will Do:
• Leads proposal planning, scheduling, and logistics with minimal support, coordinating the Proposal Manager's meeting schedule and managing cross-team activities across Writers, Graphics, DTP, Editors, Production, and SMEs.
• Reads and interprets complex RFPs and amendments to understand all instructions, evaluation criteria, compliance matrices, and submission requirements.
• Creates compliant Word templates and writing shells, performs desktop publishing using Microsoft Office Suite and Adobe Acrobat, and ensures graphics are correctly inserted and formatted within final documents.
• Ensures strict version-control procedures are followed, maintaining ownership of proposal working files from Gold Team through final production, while setting up and maintaining TEAMS and SharePoint workspaces (including AVD processes and file-permission management).
• Prepares administrative proposal documents and slide decks (contact lists, calendars, kickoff materials, standups, and color-team packages), coordinates with Graphics, and participates in Daily Standup meetings.
• Oversees all production and delivery activities, leading production efforts for color reviews and final proposal submission (including printing, tabs, assembly, and packaging).
• Manages War Room logistics, including equipment setup, loaner laptops, stocking supplies, catering, and processing related invoices.

What We're Looking For:
• 6 years relevant experience with Bachelors in related field; 4 years relevant experience with Masters in related field; or High School Diploma or equivalent and 10 years relevant experience.
• Active DoD Secret clearance.
• Minimum of 7-10 years of demonstrated expertise in Adobe Acrobat and the Microsoft Office Suite (Word, Excel, and PowerPoint).
• Experience with Government proposals and the ability to analyze solicitation requirements to determine impacts on formatting, compliance, and production.
• Extensive knowledge of using styles to format Word documents and develop templates for large, complex proposal volumes.
• Familiarity with document management systems (e.g., Microsoft Teams and SharePoint)
• Ability to work independently with minimal supervision while managing multiple, complex tasks and projects, working quickly, accurately, and efficiently under tight and competing deadlines.
• Excellent verbal and written communication skills, with a professional, proactive approach and the ability to explain complex issues to stakeholders at multiple leadership levels.
• Willingness to work evenings or weekends as needed to meet proposal deadlines.

Preferred Experience:

  • Experience working in classified environments.
  • Lead in the development and enhancements of enterprise templates and style guides.
