Full Job Description
Under the direction of the Director of Real Estate and Property Management, the Senior Manager, Real Estate Assets and Operations is responsible for the strategic oversight, operational performance, financial performance, and long-term stewardship of an assigned portfolio of commercial, office, research, academic, mixed-use, and specialty real estate assets. The position develops and implements asset management strategies; oversees portfolio operations, financial performance, lease administration, capital planning, and stakeholder relationships; and provides leadership to ensure assets are managed in a manner that protects university interests, mitigates risk, maximizes value, and supports institutional objectives.
Responsibilities:
• Manage the operational and strategic performance of an assigned real estate portfolio.
• Develop and implement asset management strategies that enhance asset value, operational effectiveness, occupant satisfaction, and long-term sustainability.
• Evaluate facility condition, operational risks, occupancy trends, service delivery, and portfolio performance metrics.
• Conduct property inspections and assessments and develop recommendations to address deficiencies, improve efficiency, mitigate risk, and optimize portfolio performance.
• Ensure compliance with university policies, lease requirements, regulatory obligations, and applicable building standards.
• Develop, administer, and monitor annual operating and capital budgets for assigned assets.
• Analyze financial performance, operating results, occupancy trends, revenue generation, recoveries, and expenses and develop recommendations to improve financial outcomes.
• Oversee forecasting, variance analysis, accounts receivable, reconciliations, CAM recoveries, operating expense management, and financial reporting.
• Monitor outstanding balances and implement strategies to improve collections and reduce financial risk.
• Ensure financial records and reporting are accurate, timely, and compliant with university procedures and reporting requirements.
• Present financial and operational performance information and recommendations to departmental leadership and stakeholders.
• Develop, prioritize, and recommend capital renewal, deferred maintenance, tenant improvement, and facility enhancement initiatives for the assigned portfolio.
• Evaluate facility condition assessments, operational requirements, asset life-cycle considerations, and stakeholder needs to establish capital priorities.
• Manage planning, budgeting, procurement, implementation, and performance monitoring of approved projects.
• Coordinate consultants, contractors, occupants, and university stakeholders to ensure projects are completed on schedule, within budget, and consistent with university objectives.
• Support development of long-term capital reserve and asset reinvestment strategies.
• Oversee lease administration activities for the assigned portfolio, including critical date tracking, compliance monitoring, operational requirements, rent escalations, renewals, amendments, assignments, insurance requirements, and reporting obligations.
• Support the Director and Real Estate Office in lease negotiations, acquisitions, dispositions, renewals, and other real estate transactions through analysis, documentation, due diligence, implementation, and stakeholder coordination
• Collaborate with legal counsel and university stakeholders regarding lease interpretation, compliance matters, and transaction documentation.
• Maintain accurate lease administration systems and records.
• Oversee contracted service providers and internal service delivery relationships supporting the portfolio.
• Develop scopes of work, procure services, administer contracts, evaluate vendor performance, and implement corrective actions when necessary.
• Manage relationships with property management, maintenance, landscaping, security, janitorial, construction, and specialty service providers.
• Ensure services are delivered in accordance with contractual requirements, performance standards, and university expectations.
• Provide leadership, direction, accountability, and performance oversight for assigned staff and supporting resources.
• Establish priorities, monitor workloads, evaluate performance, and promote professional development and continuous improvement.
• Build and maintain productive relationships with tenants, university leadership, faculty, staff, service providers, and external stakeholders.
• Lead efforts to improve operational processes, customer service, reporting, compliance, and portfolio management practices.
• Participate in strategic initiatives, policy development, and special projects supporting departmental and university objectives.
Minimum Qualifications:
Bachelors or Masters degree and 6+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
Preferred Qualifications:
• Bachelor's degree in Real Estate, Business Administration, Finance, Facilities Management, Construction Management, Public Administration, or a related field; advanced degree and relevant professional certifications preferred.
• Experience managing commercial real estate, property, facilities, or asset portfolios, including operational oversight and stakeholder engagement.
• Demonstrated experience with budgeting, financial analysis, forecasting, and performance reporting.
• Experience planning and managing capital improvement, renovation, deferred maintenance, or facility enhancement projects.
• Knowledge of lease administration, contract management, procurement, vendor management, and regulatory compliance.
• Strong leadership, project management, communication, analytical, and relationship-building skills, with experience working in higher education, public sector, or similarly complex organizations preferred.
Special Instructions to the Applicants:
The anticipated salary for a well-qualified candidate is between $89,076 and $133,614. The final determination of a successful candidate's starting salary will vary based on several factors, including education and relevant experience. The anticipated pay scale indicated for this position generally applies to candidates who meet the minimum requirements and several of the preferred qualifications outlined above. All offers are contingent on successful background and reference screens.
Position requires a valid Class E driver's license. The position may involve driving to various locations on and off campus to conduct University business.
