Job OverviewThe Senior Manager, Advancement Systems & Services plays an integral role in enhancing the Advancement program's ability to secure, grow, and sustain philanthropic support for PBS SoCal's mission and priorities. As the department's lead subject matter expert for donor data, fundraising systems, analytics, reporting, and related technologies, this role ensures Advancement has the information, processes, and operational infrastructure needed to achieve its goals. Through direct supervision of the Gifts and Records Manager, the Senior Manager also provides leadership and oversight for gift administration and constituent records management functions. In partnership with the Senior Director, Advancement Services, the Senior Manager develops and implements data-driven solutions, operational practices, and reporting strategies that improve fundraising performance, support informed decision-making, and enhance the donor experience. A highly collaborative leader and trusted advisor, this role fosters cross-functional partnerships and champions an integrated approach to Advancement systems and services that promotes operational excellence, reinforces donor confidence, and enables philanthropic growth.
Primary Duties/Responsibilities:Data Strategy & Systems (35%)
- Serve as Advancement's lead subject matter expert for donor data, fundraising systems, and related technologies, providing guidance and support for effective system utilization and day-to-day fundraising operations.
- Partner with the Senior Director, Advancement Services to develop and implement donor data standards, business rules, policies, processes, and reporting that support fundraising goals and data integrity.
- Oversee the accuracy, consistency, integrity, and effective use of Advancement data and systems.
- Identify opportunities to improve workflows, system utilization, automation, and operational efficiency.
- Develop, implement, and maintain data standards, business rules, system procedures, and documentation that promote data integrity, consistency, usability, and effective system administration.
- Assess training needs and develop resources that enable Advancement staff to effectively use systems, maintain data quality, and become more self-sufficient users of fundraising technologies.
- Serve as Advancement's primary liaison with Membership Operations, Database, Information Technology, Digital, Business Intelligence, and technology vendors regarding system enhancements, integrations, support needs, and operational improvements.
- Evaluate system enhancements, emerging technologies, and industry best practices and provide recommendations that improve Advancement's technology and data capabilities.
Analytics, Insights & Reporting (30%)
- Partner with Advancement leadership and fundraising staff to identify information needs and translate fundraising goals, metrics, and reporting requirements into meaningful reports, dashboards, analytics, and performance measures that support decision-making and evaluation of results.
- Design, develop, automate, maintain, and deliver recurring and ad hoc reports, queries, exports, dashboards, analytical tools, and data requests.
- Streamline and operationalize routine reporting processes to improve efficiency, consistency, accuracy, and accessibility of information.
- Ensure reporting methodologies, calculations, data definitions, and documentation remain accurate, consistent, and well maintained.
- Analyze and present data in a clear and accessible manner that helps Advancement leadership and staff monitor progress toward fundraising goals and evaluate results.
Leadership & Operations (20%)
- Supervise, mentor, and develop the Gifts and Records Manager, providing leadership, coaching, performance management, and professional development support.
- Direct and oversee priorities, workload management, service delivery, and performance outcomes for the Gifts and Records function.
- In partnership with the Senior Director, Advancement Services, contribute to departmental planning, operational priorities, and continuous improvement efforts, including the development and implementation of recommendations that enhance service delivery and departmental effectiveness.
- Develop and maintain operational workflows, procedures, and service practices that promote consistency, accountability, service quality, and operational effectiveness across Advancement Systems & Services functions.
- Foster strong partnerships across Advancement, Membership Operations, Database, Finance, Information Technology, Digital, and Business Intelligence teams to support collaboration, problem-solving, and effective service delivery.
- Other duties or special projects as assigned.
Gift Administration & Records (15%)
- Through direct supervision of the Gifts and Records Manager, provide functional leadership and oversight for gift administration, pledge administration, donor acknowledgments, constituent records management, and related advancement services functions.
- Ensure appropriate controls, quality assurance practices, procedures, and documentation are in place to support accurate, timely, and compliant gift and constituent record management.
- Monitor service quality, operational effectiveness, data integrity, and process performance across Advancement Systems & Services functions, identifying risks, process gaps, and opportunities for improvement and developing recommendations that enhance effectiveness, efficiency, compliance, and donor confidence.
- Partner with the Gifts and Records Manager to resolve complex gift administration, reconciliation, constituent data, and operational issues.
- Collaborate with Finance, Membership Operations, and Database teams to support reconciliation activities, audit readiness, revenue reporting, and financial accountability.
- Ensure alignment among donor data management, reporting and analytics, gift administration, and constituent records functions so that Advancement systems and services operate cohesively in support of fundraising goals.
Qualifications:Education and Experience
- Bachelor's degree or equivalent combination of education and relevant professional experience.
- Minimum of five years of progressively responsible experience in advancement services, donor services, fundraising operations, donor database management, and/or data management and analytics, preferably within a complex nonprofit organization.
- Minimum of five years of experience working with donor database or CRM systems; Raiser's Edge NXT experience strongly preferred.
- Experience developing reports, dashboards, analytics, and data solutions that support fundraising strategy, decision-making, and operational effectiveness.
- Experience managing staff, projects, operational functions, or cross-functional initiatives preferred.
Skills and Abilities
- Strong knowledge of advancement services, fundraising operations, donor data management, constituent relationship management systems, and fundraising technologies.

- Strong training, coaching, and consultative skills, including the ability to help colleagues effectively utilize systems, tools, and data resources.
- Demonstrated project management skills and the ability to manage multiple priorities, work independently, and exercise sound judgment in a dynamic environment.
- Skilled in developing and maintaining clear technical and operational documentation.
- Commitment to data quality, confidentiality, and ethical stewardship of donor information in accordance with PBS SoCal and applicable professional standards, including AFP and ADRP/AASP guidelines.
- Proficiency with standard office productivity software (e.g. Microsoft Office and 365 programs and products), including: Word, Excel, PowerPoint, Outlook, OneDrive, SharePoint, and Teams
- Ability to work evenings and weekends on occasion.
Preferred Qualifications
- Experience with Raiser's Edge NXT, Financial Edge, ResearchPoint, iWave, RelSci, Zkipster, or similar fundraising, prospect research, and engagement technologies.
- Experience with Power BI, Tableau, or other business intelligence and data visualization tools.
- Knowledge of nonprofit fundraising practices, charitable gift regulations, gift acceptance practices, and fundraising compliance requirements.
- Experience with financial reconciliation processes, nonprofit accounting concepts, and revenue reporting.
Physical DemandsWhile performing the duties of this job, it is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls reach with hands and arms; and talk or hear. The employee is also required to stand and walk. The employee must occasionally lift and/or move up to 25 pounds.
Work EnvironmentThe working conditions are primarily a general office or home setting. However, the position will require off-site travel to other locations as necessary. Depending on the position, job duties, and subject to the discretion of the company, the position may be telecommuting eligible in whole or part.
