OverviewIST Management is seeking a Senior Facility Manager/Operations Manager to join our downtown Chicago team! The Facility Coordinator is responsible for providing on-site management and regional support our facilities operation in Lease agreements, HVAC, property management, Print/Scan/Mail/Hospitality and Office Service functions.
- Act as primary contact for building management, general office management, operational facility issues and requests
- Coordinate with vendors – Crafty, Iron Mountain, Pro Shred, HVAC, Landscaping and other vendors as needed
- Conduct routine facility inspections to determine areas for service
- Coordinate and assist in implementation of future of work
- Provide hands-on support for basic maintenance
- Engage approved vendors as needed to complete repairs
- Partner with necessary internal departments including EUC and technology teams
- Ensure timely follow-up and work order completion
- Provide backup to Facility Managers for all sites as necessary
- Perform other functions as assigned
- Perform on-site event coordination and planning with global Events Team
The ideal candidate will have at least 3-5 years of Facilities Management experience in a corporate office environment and managing a team of 5+ employees. Manager must have strong leadership skills, have the ability to lead a diverse team of employees and deliver a high level of customer end user services while using critical and analytical skills in delivering practical solutions.

Annual Compensation: $85,000 -95,000
Schedule: Must have flexible schedule to work early and late shifts. Overall hours of operation are 7:00 AM - 9:00 PM Monday-Friday
Responsibilities
The On-Site Operations and Facility Manager is responsible for providing on-site daily leadership. Other duties include:
- Act as primary contact for general office management, operational facility issues and requests
- Coordinate with vendors – Crafty, Iron Mountain, Pro Shred
- Conduct routine facility inspections to determine areas for service
- Coordinate and assist in implementation of future of work
- Provide hands-on support for basic maintenance
- Engage approved vendors as needed to complete repairs
- Partner with necessary internal departments including EUC
- Ensure timely follow-up and work order completion
- Provide backup to Facility Manager for all sites as necessary
- Perform other functions as assigned
- Perform on-site event coordination and planning with global Events Team
- Professional and friendly customer service; verbal and written interaction with internal and external clients with excellent use of business etiquette and critical thinking skills.
- Hospitality services: Conference room management (i.esetting up/breakdown for meetings and events, arranging and moving tables/chairs, assist with catering orders, other related tasks as needed)
- Mail/Copy/Print Center - Ability to manage workflow and direct team in best practices and utilize current technology to leverage workflow. Make viable recommendations on industry trends and solutions to improve operations efficiency
- Consistently adhere to business procedure guidelines; take direction from Sr. Management and maintain communication with full participation in all scheduled meetings.

Qualifications
Ideal candidates have the ability to confidently interact with clients and visitors, possess excellent communication abilities, and are ready to grow in their professional career. Previous management experience in a legal environment is a plus.
Other qualifications include:
- Prior Office/Corporate/Facility Management experience.
- Microsoft Office proficiency required
- High School Diploma or GED required; authorization to work for any employer in the US required
- Excellent communication skills both verbal and written
- Ability to effectively lead a team environment; willingness to cross-train for other job functions and must be a working manager.
