Job Description:
The Collections Specialist will manage an assigned portfolio of client receivables, working closely with internal stakeholders and clients to support timely collection of outstanding balances.
Key Responsibilities: - Monitor assigned accounts, review aging activity, and conduct consistent follow-up on outstanding receivables.
- Partner with attorneys and internal practice teams to assess individual matters and establish appropriate collection strategies.
- Communicate directly with clients regarding outstanding balances and work to secure timely payment.
- Prepare and provide supporting documentation, account details, and analysis to clients and internal stakeholders as needed.
- Maintain thorough documentation of collection activity, communications, and actions taken on assigned accounts.
- Work with management and practice teams to review the receivables portfolio, discuss collection strategies, and escalate issues when appropriate.
- Research and resolve client deductions, unapplied cash/credits, and other issues affecting outstanding receivables.
- Coordinate with Billing, Finance, and other internal departments on deductions, cash applications, collections, and special projects.
- Perform additional research and account analysis as needed to resolve collection issues and support the overall receivables process.
Qualifications: - Minimum 3 years of collections experience within a legal or professional services environment.
- Law firm experience and prior interaction with attorneys/partners and clients preferred.
- Experience with Aderant, Elite, and/or e-billing platforms is a plus.
- Bachelor's degree required.
- Ability to independently manage follow-up on assigned accounts with limited supervision.
- Strong attention to detail and accuracy while managing multiple priorities and deadlines.
- Ability to work effectively in a deadline-driven environment and collaborate with internal teams.
- Strong interpersonal, written/verbal communication, and analytical skills.
- Proficiency with Microsoft Word and Excel.
