Senior Associate, Business Planning

Job Description:

HITT is seeking a highly organized, detail-oriented Senior Associate to support the Operations Chief of Staff and strengthen the effectiveness of the Executive Office. This role requires someone who operates with a strong respect for detail and a commitment to quality, ensuring that work is prepared, coordinated, and delivered with consistency and precision.

Operating under the direction of the Operations Chief of Staff and in close collaboration with the Business Planning team, this individual supports the flow of work across the Executive Office-ensuring materials, governance processes, and executive priorities are organized, aligned, and executed to a high standard. This role contributes directly to the preparation and quality of key outputs such as reports, market research, agendas, presentations, decisions, and follow-through, while also owning select workflows and coordination mechanisms across the enterprise.

The Senior Associate plays a critical role in maintaining structure, supporting execution, and reinforcing standards across the enterprise. This position requires strong attention to detail, the ability to manage multiple tasks and workstreams, and a proactive approach to connecting work across departments to ensure alignment and progress.

RESPONSIBILITIES

Board Reporting
  • Coordinate the end-to-end development of HITT's bi-annual Board Report, including content collection, timeline and process management, and final printing and production.
  • Act as a connector across departments, ensuring contributors are informed and prepared, and that work progresses efficiently across teams throughout the process.
  • Support section review and quality control of all content, identifying inconsistencies or missing information and working with contributors to resolve them.
  • Utilize Adobe InDesign to format and produce polished Board Report deliverables.
  • Identify, implement, and help maintain approved AI-enabled tools and workflow automations that improve the efficiency of the Board Report process while preserving accuracy, confidentiality, and appropriate human review.


Operations Strategy & Construction Market Intelligence
  • Monitor market and industry dynamics by gathering relevant data, tracking emerging signals and trends, and surfacing noteworthy developments.
  • Synthesize internal and external information into clear, concise summaries, highlighting relevant themes to support leadership discussions, strategic priorities, and business planning.
  • Maintain current bi-annual business unit goal tracking, coordinating inputs and supporting visibility, alignment, and follow-through.


Meeting Coordination
  • Own coordination and execution of select enterprise governance committees, including agenda development, material preparation, minutes, and action item tracking.
  • Ensure all materials are complete, aligned, and prepared to executive standards, identifying gaps or issues that should be resolved before meetings.
  • Capture decisions and ensure consistent follow-through and closure of action items.
  • Anticipate upcoming decisions, dependencies, and communication needs; identify matters that may require broader coordination or executive awareness and raise them proactively.


Planning, Workflow & Communications Management
  • Own and maintain the enterprise planning calendar, ensuring alignment across priorities, events, key meetings, and deliverables.
  • Coordinate inputs and timelines across teams to support enterprise planning and execution.
  • Reinforce structure, organization, and consistency in day-to-day workflows
  • Draft monthly All Hands content and supporting materials, collaborating with internal communications to develop clear, aligned leadership talking points and enterprise messaging.


Presentation Development
  • Support the development, formatting, and refinement of enterprise and executive-level presentations and materials.
  • Ensure outputs are clear, consistent, and meet executive excellence standards.
  • Utilize Adobe InDesign and related tools to produce polished, high-touch deliverables.


QUALIFICATIONS
  • 5-7 years of professional experience in operations, project management, consulting, or a related field
  • Experience supporting senior leaders or working within executive-level workflows preferred
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously
  • Demonstrated ability to execute non-routine tasks, resolve issues independently, and escalate complex or sensitive matters appropriately
  • Sound judgment and discretion, with the ability to handle confidential executive and Board-level information.
  • Strong research and analytical skills, with the ability to synthesize information from multiple sources, identify relevant themes or gaps and present findings clearly
  • Excellent written and verbal communication skills, with the ability to prepare clear, concise materials
  • Strong interpersonal skills and ability to build relationships across functions and levels
  • Ability to connect information across teams, anticipate needs and dependencies, and proactively surface opportunities or issues requiring greater alignment or executive awareness
  • Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word)
  • Proficiency in Adobe InDesign required
  • Familiarity with AI-enabled tools and workflow automation, including the ability to apply them responsibly while maintaining accuracy, confidentiality, and appropriate human review.
  • Experience with project management or work tracking tools (e.g., Asana)
  • Experience in construction, real estate, or the built environment preferred


In accordance with Virginia Senate Bill 215 (SB 215), the base salary range for this position is:

$77,000.00 - $112,000.00

Compensation in other cities and states may vary. HITT Contracting offers a competitive total benefits and compensation package including performance-based bonuses, premium health care coverage including vision and dental, employer-matched 401(k), wellness reimbursement program, paid holidays and time-off, and other voluntary benefits and leave types. The determination of salary is based on the candidate's individual professional experience, qualifications, education, skills, and training.
