Overview

PIMCO is seeking a highly organized and proactive Recruitment Coordinator to support our lateral hiring efforts. This role serves as a key point of contact for all recruitment-related activities and plays a critical role in delivering a seamless candidate experience. Working closely with recruiters, hiring managers, external partners, and candidates, the coordinator will help drive the execution of recruitment strategies aimed at attracting top-tier talent to the firm.

The role will support PIMCO's talent acquisition team, to enhance operational efficiency, maintain high-quality candidate data, and preserve a high-touch candidate experience.

Key Responsibilities

  • Provide comprehensive coordination support to a team of recruiters, including scheduling and coordinating in-person, phone, and video interviews across global time zones.

  • Serve as a liaison between candidates, recruiters, and business stakeholders to ensure a smooth and professional recruitment process.

  • Compile and manage interview feedback and briefing documents with accuracy and confidentiality.

  • Maintain data integrity and ensure timely updates within the Workday applicant tracking system (ATS).

  • Post job openings on internal and external platforms, ensuring alignment with hiring needs and branding standards.

  • Collaborate with recruiters to prepare offer proposals, secure necessary approvals, and generate offer documentation.

  • Conduct pre-offer compliance checks to ensure all regulatory and internal requirements are met.

  • Build and maintain trusted relationships with internal HR teams, hiring managers, and executive assistants.

  • Leverage AI-enabled recruiting tools and automation platforms to improve scheduling efficiency, candidate communications, and recruitment operations.

  • Support adoption and continuous improvement of recruitment automation initiatives, including interview scheduling, candidate communications, and workflow management.

  • Contribute to ad-hoc HR initiatives and projects as needed.

Qualifications & Requirements

  • 2-4 years of experience in a Recruitment Coordination role, preferably within a corporate or professional services environment.

  • Experience using Workday as an applicant tracking system.

  • Proficiency with Microsoft, Copilot, or similar AI tools to support administrative tasks, communications, and process optimization is advantageous

  • Exceptional attention to detail and ability to manage multiple tasks with speed and accuracy.

  • Proven ability to handle sensitive and confidential information with discretion.

  • Strong organizational and time management skills; able to work independently and prioritize effectively.

  • Comfortable working in a fast-paced, dynamic environment across multiple time zones.

  • Strong digital literacy and adaptability to new technologies, automation platforms, and AI-enabled workflows.

  • Professional demeanour with the ability to interact confidently across all levels of the organization.

  • Demonstrated curiosity and commitment to continuous learning in AI, talent acquisition technology, and emerging HR innovations.

  • Excellent written and verbal communication skills.

  • Strong interpersonal skills and ability to build rapport with internal and external stakeholders.

  • Bachelor degree from an accredited institution.

PIMCO follows a total compensation approach when rewarding employees which includes a base salary and a discretionary bonus. Base salary is the fixed component of compensation that is determined by core job responsibilities, relevant experience, internal level, and market factors. The discretionary bonus is used to award performance and therefore is determined by company, business, team, and individual performance.


Hourly Rate Range: $ 41.83 - $ 44.71
