About the Role
You'll be the operational and data engine behind Nscale's SaaS procurement function, managing contract transactions and building a clear picture of what's licensed and used across a portfolio of 150+ vendors. Your work will give the team the utilization and billing data it needs to make renewal negotiations fact-based.
Reporting to the Senior Manager, SaaS Procurement, you'll combine detail-heavy contract and invoice administration with software asset analysis. You'll help build the processes and systems that keep the portfolio accurate as it grows.
Location: New York, San Francisco, or Seattle
What You'll Do Contract and Transaction Administration
Handle post-signature contract administration, including tracking redlines to close, keeping the contract repository accurate, and monitoring key dates.
Create and manage purchase orders for SaaS spend in NetSuite or its successor procure-to-pay platform.
Own invoice receipting and three-way matching, investigating and resolving discrepancies.
Resolve billing disputes directly with vendors, including overcharges, seat-count mismatches, and proration errors.
Software Asset Management
Build and maintain an inventory of what's licensed, deployed, and actually used.
Reconcile license counts against SSO/Okta login data and usage telemetry to identify unused and underutilized software before renewal.
Track true-up exposure and license compliance risks across the portfolio.
Own the system of record for SaaS assets and help establish it where needed, moving beyond spreadsheets at this vendor scale.
Support access reviews and evidence requests where license and access data intersect with SOX/ITGC controls.
Renewal Support
Deliver utilization and billing-accuracy findings to the Senior Manager early enough to inform each renewal negotiation.
What We're Looking For
2-4 years of experience in procurement operations, IT asset management, vendor management, or a comparable operations or finance-adjacent role.
Comfort with both transactional work, such as invoices, purchase orders, and disputes, and analytical reconciliation of usage data and license counts.
Working knowledge of NetSuite or a comparable ERP or procure-to-pay system.
An organized, self-directed approach, with the ability to build processes rather than only follow existing ones.
Nice to Have
Experience with Okta or a similar SSO/identity platform. You won't need to administer it, but you will pull and reconcile its data.
Exposure to SaaS management tools such as Zylo, Torii, Flexera, or similar platforms.
Experience in a high-growth or pre-IPO environment where processes are still being built.
Salary Range
$100,000-$160,000 USD
